This is a great time to join University Hospitals of Derby & Burton NHS Foundation Trust. An exciting opportunity has become available for an Administrator to support a large dedicated and experienced Hand Therapy Team. The posts will be part of a small admin team
The admin team is based within the Hand Therapy Office in the Pulvertaft Hand Unit.
The layout of the hand unit was designed to be integrated and self-contained with therapists and nurses and Doctors all working alongside each other in clinics. This facilitates MDT working.
The therapists see a variety of trauma and elective patients and have very busy caseloads. The admin team are absolutely integral to the Therapy team and work closely alongside the therapists in managing caseloads and ensuring smooth running of the department.
• Answering the telephone, dealing with queries, taking telephone messages and relaying them to the appropriate person/people/division where appropriate
• Receiving, sorting and distributing incoming mail, paper and/or electronic
• Responding to email queries and passing to the relevant departments/people
• Accurate data entry on to Trust databases and systems
• Assist with Reception duties, dealing with queries face-to-face or by telephone, booking in/out patients attending clinics, liaising with staff/patients in a courteous and professional manner.
• To be aware when to refer a query/issue onwards for resolution, escalating as necessary
• Undertake clerical duties in a professional, timely manner, ensuring deadlines are etc, prioritising work and problem solving on a regular basis to achieve the best outcome.
• General admin support to the Therapy Team.
• Assist with the teams missing outcomes.
• Monitor day to day appointment numbers ensuring that therapists diaries are opened up in a timely way.
• Assist in co-ordination and collation of outcome measures.
• Assist with ‘block booking’ patient appointments to increase patient continuity.
• Working alongside the therapists in clinic making appointments for patients.
• Setting patients up on the Therapy Platform to facilitate collection of Patient Rated Outcome Measures.
• General housekeeping duties in line with department policy and guidelines
