Treasurer, Hampshire Genealogical Society.
The holder of the position of Treasurer is one of the four Principal Officers of the Hampshire Genealogical Society (HGS). The Treasurer is a Trustee and a member of the Executive Committee where important decisions are made.
The Treasurer presents and recommends on matters of finance and on decisions involving expenditure and investment.
Each year the incumbent Treasurer will be proposed for re-election for a further twelve months at the Society’s AGM usually held around June.
Preferred background: experience in business, with financial or accounting knowledge. The Treasurer does not need to be an experienced family historian but some knowledge is preferable.
Responsibilities:
1. Oversee the Society’s accounting records and supervise the tasks of the Bookkeeper.
2. Maintain the bank accounts and ensure there are sufficient funds to cover known expenditure. Review, approve, and pay invoices and expense claims.
3. Prepare and present income and expense accounts, balance sheets including bank balances for the bi-monthly Executive meetings. Prepare the year-end accounts for review with the Executive Committee and appointed auditors. Prepare summary level budgets for each financial year. Assist with the annual Charity Commission return.
4. Periodically review our bank accounts and accounting processes to ensure they are fit for purpose, compliant with regulations, and simple to use.
These tasks should take no more than half a day a week. Tasks can be carried out from home, but at least one or two half days a month spent at the HGS Office in Hampshire Record Office in Winchester is recommended.
Out of pocket expenses can be claimed in line with the HGS policy guidelines.
This role could be combined with that of Bookkeeper.
