About the Role
We are looking for a highly organised and proactive Office Administrator & Personal Assistant to support our business operations. This role is ideal for someone with a strong background in administration within a business-to-retail (B2R) environment, including supply chain administration and customer service.
You will be responsible for ensuring smooth day-to-day operations, handling administrative tasks, managing supply chain documentation, and providing excellent customer service. This role also requires assisting senior management with personal and business-related tasks.
Key Responsibilities
Office Administration & Supply Chain Support
* Oversee general administrative tasks, ensuring the smooth running of the office.
* Manage order processing, invoicing, and retailer account administration.
* Liaise with suppliers, logistics companies, and warehouses to ensure timely deliveries.
* Track and manage stock levels, coordinating replenishment where necessary.
* Maintain accurate records of orders, shipments, and supplier agreements.
* Ensure compliance with retailer requirements, including documentation and data submissions.
Customer Service & Communication
* Handle customer and retailer inquiries professionally and efficiently.
* Provide outstanding written and verbal communication when dealing with customers, suppliers, and internal teams.
* Resolve issues promptly, ensuring excellent customer satisfaction.
* Draft and proofread emails, reports, and other business documents with exceptional attention to detail.
Personal Assistant Duties
* Support senior management with diary management, travel bookings, and meeting coordination.
* Assist with ad-hoc personal and business-related tasks.
* Manage key deadlines and proactively follow up on outstanding tasks.
Required Skills & Experience
* Proven experience in an administrative role within a business that sells to retailers.
* Strong understanding of supply chain administration, including order processing and logistics coordination.
* Excellent written English skills with the ability to draft professional emails and business documents.
* Strong problem-solving abilities and a proactive approach to tasks.
* Highly efficient with excellent time management skills.
* Comfortable working in a fast-paced environment and managing multiple tasks simultaneously.
* Must have a valid driving license and access to a car.
Desirable Skills
* Experience using ERP systems, order management software, or supply chain platforms.
* Prior experience in customer service or account management.
* Knowledge of retailer compliance processes.
