We are looking to recruit a highly motivated, enthusiastic band 2 Administrator to work in Halton treatment rooms. Applicants must have excellent interpersonal and communication skills, be highly motivated, and able to work autonomously as well as part of a team.
The treatment room service is for non-housebound patients, providing a comprehensive range of clinical skills across 7 sites in Halton (Widnes and Runcorn). The hours are 8.30 to 4.30. Currently, the service operates Monday to Friday, with one clinic site operational Saturday and Sunday. Weekly evening clinic sessions are planned for the future to meet patient needs, and hours may vary between 08.00 and 18.00.
The Treatment Room Service is committed to supporting personal development. We offer a supportive induction for all new starters, along with an in-house training programme to assist all new staff within Bridgewater.
Main Duties of the Job
The post holder will provide an efficient and effective administration support service to the Halton Treatment Room Service within Bridgewater Community Healthcare NHS Foundation Trust (BCHFT).
Duties will include communicating effectively with staff, patients, and other departments, greeting patients and visitors, answering telephone calls, data input, producing documents, filing, and archiving.
Job Responsibilities
The following are examples of the duties the post holder may undertake. Training and support will be provided:
* Provide comprehensive administration support, including typing a range of documents.
* Receive and deal with telephone calls for the department, taking appropriate action when necessary.
* Act as the first point of contact for all patient and carer enquiries, responding efficiently, tactfully, and professionally.
* Liaise with internal and external services and partner agencies as directed.
* Have excellent communication skills and the confidence to talk to people with communication difficulties.
* Ensure all departmental electronic and paper records are correct and up to date, including accurate filing of documentation.
* Prepare case notes and patient files as required.
* Open, sort, distribute, and dispatch post.
* Produce, edit, and store documents using appropriate electronic systems.
* Use Trust information and computer systems for day-to-day processes.
* Deal with enquiries from patients, carers, and other health professionals courteously.
* Contribute to the team to ensure adequate cover during periods of leave.
* Maintain a neat and tidy office environment.
* Maintain and update the waiting list.
* Manage the patient booking system, including appointment arrangements.
* Ensure clinics are booked to full capacity as per the agreed clinicians' template.
* Handle cancellations and re-booking of patients as needed.
* Collect relevant data/statistics as requested by staff/managers.
* Conduct case note audits and contribute to departmental audit activity.
* Accept deliveries and ensure they are dealt with promptly.
* Maintain an effective photocopying, filing, and archiving system.
* Report any faults or defects to the appropriate team.
* Maintain appropriate levels of stationery stock and place requisitions.
* Book clinic and meeting rooms and update clinical diaries as requested.
* Undertake general office duties as required.
* Carry out any other duties as required within the remit of the role.

Qualifications
* 4 GCSEs at grade C or above, including Maths and English, or Key Skills equivalent qualification.
