Job Title: Spares Purchasing Administrator
Hours: 37.5 hours per week
Salary: FTE - £24,000
Purpose of Job:
This role involves performing key functions within the Purchasing Department, including:
* Placing orders for spare parts with suppliers.
* Managing product creation, pricing, and stock control.
* Addressing delivery discrepancies and coordinating daily transport planning.
* Responsible for Customs Declaration Service (CDS) and Postponed VAT Accounting (PVA).
* Supporting warehousing operations as well as assisting the over-the-counter spares team, Despatch team, and Customer Service team.
* Providing administrative support for the technician fleet, handling all inquiries and overseeing aspects related to the supply of parts.
Position Responsibilities:
* Manage Goods Inwards Discrepancies: Oversee and resolve discrepancies in incoming goods, ensuring accurate records and timely communication with relevant parties.
* Place Orders with Suppliers: Process purchase orders with suppliers and update internal systems with confirmed shipping dates.
* Track Shipments: Follow up with suppliers to confirm and update ship dates in the system, maintaining an accurate delivery schedule.
* Coordinate with Transport Companies: Liaise with transport companies to track shipments and address delivery delays promptly.
* General Purchasing Administration: Perform a variety of administrative tasks to support the purchasing function effectively.
* Prepare Shipment Documents: Complete and verify shipping documents to ensure compliance with current regulations and requirements.
* Support Internal Departments: Provide assistance to internal teams by addressing part-related queries in a timely and efficient manner.
* Perform Warehousing Duties: Carry out occasional warehousing tasks as needed, including inventory management and stock organization.
* Manage Engineer Van Stock Replenishment: Monitor and coordinate the replenishment of stock for engineers' vans, ensuring accurate records and timely processing.
* Handle Engineer Stock Queries: Address and resolve queries from engineers regarding stock replenishment or additional part requests.
Qualifications:
* Excellent communication skills with a customer-focused attitude.
* Highly motivated and well-organised.
* Ability to multi-task and prioritise workloads.
* Good problem solver.
* Self-motivated, possessing the ability to work under pressure on your own initiative.
* Competent user of Microsoft Office Suite.
