We are seeking a Bids Support Coordinator to provide day to day support to our consultancy teams for their bid preparation and submissions.
This role requires strong interpersonal and communication skills, background knowledge in bids administration processes, attention to detail and the ability to manage and prioritise.
Main responsibilities of the job:
• Preparation and completion of proposals, projects and EoI’s for submission including proof reading, formatting and liaison with others to ensure high quality outputs are produced.
• Updating and formatting of CVs for proposals.
• Use of Microsoft Office software (especially Word, Excel and PowerPoint) with the capability to produce high quality documents.
• Provision of guidance on use of templates and formatting.
• Management of document production and dispatch.
• Updating marketing contacts on central system.
• Delivery of occasional research work and ad-hoc support as required.
• Ensure consistent and clear labelling of electronic filling to support knowledge sharing.
• Assists consultancy colleagues in the development of a bid strategy.
• Writes and assembles general (non-technical) proposal sections, including tailored information; maintains the proposal schedule to ensure a high-quality proposal is delivered on time; coordinates with internal colleagues and external teaming partners; and provides overall quality control for all proposal sections, including incorporation of the bid strategy, review for grammatical accuracy, and consistency with the firm standards.
• Undertakes research to improve bid content, developing creative approaches to the writing and presentation of bids.
• Updates and manages the bid marketing collateral, making this accessible and ease to use for consultants when developing proposals.
• Identifying opportunities to enhance and improve the process, whilst obtaining and sharing best practice.
• Works with consultancy colleagues to prepare firm pre-qualifications with select clients, including tracking renewal dates, monitoring changes in client processes, researching new clients, compiling and submitting packages, and tracking prequalification status.
• Coordinates proposal efforts when the firm is a prime or sub.
• Identify proposal status and outcomes.
• Deal with client/consultant enquiries.
• Maintain and update the UK framework lists.
• Work with and support other Division and Business Delivery Groups colleagues as necessary, including annual leave cover.
