About The Job
This role sits at the heart of Omaze, providing critical support to two of our senior leaders. You’ll be part of a small, high-performing support team, working closely with other Executive Assistants to ensure the Exec team is where they need to be—focused, prepared, and always one step ahead. With their frequent travel and a full calendar of internal and external commitments, you’ll play a vital role in enabling the Executive team to operate at pace and scale effectively.
What You’ll Be Doing
* Provide high-level administrative support and partnership to the CFO, CEO (he has a primary EA as well), and potentially partial support for the President, managing complex diaries, coordinating meetings, and handling day-to-day logistics.
* Work in close partnership with other Executive Assistants to ensure seamless coverage and alignment across the leadership team.
* Manage frequent international and domestic travel arrangements, including flights, accommodation, transfers, visas, and detailed itineraries.
* Anticipate needs and solve problems before they arise—whether that’s adjusting travel on the fly or ensuring the Execs are briefed ahead of key meetings.
* Act as a trusted gatekeeper and liaison, managing communications with internal teams and external stakeholders.
* Meet and greet key stakeholders and guests for in-person meetings, ensuring a warm welcome and a smooth, professional experience.
* Prepare meeting materials, agendas, and follow-up actions to keep things moving.
* Process expenses and support with administrative tasks, always with a keen eye for detail and confidentiality.
* Ad-hoc projects and team initiatives as the business scales.
Minimum Requirements:
* Prior experience supporting senior executives in a fast-paced, high-growth environment—ideally in a start-up or scale-up.
* Highly organised with exceptional communication, attention to detail and time management skills.
* Comfortable working across multiple time zones and managing changing priorities.
* Confident, approachable, and able to build strong working relationships at all levels.
* Skilled in Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and video conferencing tools.
* A natural problem solver with a calm, can-do, optimistic attitude.
* Experience coordinating extensive international travel is essential.
* Previous experience working collaboratively with another EA is a plus.
* Comfortable with the judgment required to preserve confidential information.

Our hiring process may vary between roles, particularly for technical roles where we may incorporate a technical skills/based interview, but as standard you’ll have:
* Screening call with one of our in-house Talent Leads
* First stage interview with the Hiring Manager
* On-site second stage interview with key stakeholders - this could be other managers, peers or Senior team members.
* Final stage interview with one of our Execs.
On average, our hiring process takes around 2-3 weeks after your initial screening call.
