Are you an organised and detail-oriented administrator looking for an exciting role in a fast-paced environment? We are seeking an Administrator to join our team and support the Road Space bookings team for the M25 motorway. This role is crucial in ensuring accurate record-keeping, efficient communication, and compliance with regulations.
Key Responsibilities:
Administrative Support:
You will be responsible for processing and maintaining accurate records of road space bookings using NOMS and NEMS systems. This includes inputting cone times and cancellations in relevant systems, assisting with tracking and managing Time Scale Waivers (TSW) documentation and associated change control processes, and monitoring and maintaining the Road Space inbox by responding to emails and escalating queries as needed. Additionally, you will assist with processing permits and TMAN applications while managing cancellations to ensure compliance with timelines and procedures.
Stakeholder Liaison:
You will communicate effectively with internal teams, external stakeholders, and local authorities to resolve queries. Supporting Road Space Coordinators, you will assist in stakeholder discussions and data collection efforts. Additionally, you will process and respond to stakeholder feedback, escalating issues when necessary to ensure smooth operations.
Compliance & Coordination:
In this role, you will assist with processing maintenance work bookings and advance planning for diversions. You will also support compliance with contractual obligations through accurate record-keeping and reporting, ensuring that all processes align with regulations and internal policies.
Team Collaboration:
You will provide essential support to Road Space Coordinators by handling routine tasks, allowing them to focus on complex planning activities. You will also assist with meeting organisation, including scheduling, preparing materials, and taking minutes. Additionally, you will offer administrative assistance to other business areas during peak workloads or staff absences.
About You:
To be successful in this role, you must have previous administrative experience, including data entry and email management. Strong IT skills and familiarity with reporting systems are essential. You should possess excellent organisational and communication skills, with the ability to multitask and prioritise effectively. A proactive attitude, attention to detail, and a willingness to learn and adapt to new systems will be key to your success. Full training will be provided.
