We are seeking a dedicated and detail-oriented Medical Secretary to join our Practice. This role is responsible for undertaking a wide range of secretarial and administrative duties and providing administrative support to the multidisciplinary team. Duties include but are not limited to:
1. Processing information (electronic and hard copy) in a timely manner.
2. Liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).
3. Typing letters, reports, and associated documentation as required (understanding the Lexicom system).
4. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
5. Managing tasks to the secretary inbox effectively.
6. Maintaining an accurate referrals database.
7. Actioning all incoming emails to the Elms inbox.
8. Scanning patient-related documentation and attaching scanned documents to patients' healthcare records.
9. Inputting data into patients' healthcare records as necessary.
10. Processing referrals using the electronic referral system (ERS).
11. Processing requests for information i.e. SAR, insurance/solicitors letters, and DVLA forms.
12. Reading code data on Emis.
13. Answering incoming patient queries relating to referrals.
14. Managing all administrative queries as necessary.
15. Carrying out system searches as requested, including referral audits & FT referrals.
16. Maintaining a clean, tidy, and effective working area at all times.
17. Supporting all clinical staff with general administrative tasks as requested.
18. Managing the income spreadsheet on non-NHS work.
19. Adding referral templates onto Emis, including word documents.
20. Conducting basic searches to help with audits.
21. Regularly reviewing Secretary policies and protocols to keep them up to date.
In addition to the primary responsibilities, the medical secretary may be requested to:
1. Partake in audits as directed by the audit lead.
2. Produce meeting agendas and record the minutes of meetings.
We are a high-performing GP practice with a patient population of 10,000. We have a branch surgery in Blacon. The clinical team comprises 7 GPs, ANP, Practice Nurses, and HCA, supported by an admin team comprising Medical Secretaries, Medicines Managers, and Care Navigators.
