Your responsibilities
* *Please be aware this is a six month fixed-term contract providing cover for maternity leave*
* The Management Assistant proactively provides essential administrative support to the Head of Legal and respective department, ensuring they are prepared for all tasks and remain on top of communications and approvals. The key responsibilities in this role will include:
o Acting as the central point of contact for the Legal department, ensuring the smooth and efficient coordination of the department’s tasks.
o Provide email and diary management for Head of Legal plus diary management/support for team members.
o Completion of general administration duties such as MyView approvals and reports, Q-Pulse updates/approvals, Concur expense submissions, internal reporting tools, management of travel arrangements, meeting room bookings and internal/external meeting arrangements, as well as IT requests.
o Accurate minute taking, including notes for HR/Disciplinary meetings on an ad-hoc basis.
o Manage onboarding for new starters to the team.
o Organisation of team briefings and associated presentations, together with departmental teambuilding activities.
Minimum Requirements
* Minimum of two-three years’ experience in a similar role, supporting Senior Management.
* Proven Secretarial background, with a minimum typing speed of 50wpm.
* Computer literate with excellent Microsoft Word, Excel & PowerPoint skills.
* Confidence to be the information centre point for all the different areas within the department.
* Positive attitude with ability to work on your own and as part of a team.
* Ability to present information in a structured and balanced way.
* Proactive and agile working approach.
* Organised individual able to prioritise a busy and varied workload to meet demands and deadlines.
* Clear and concise written and spoken communication skills with the ability to communicate at all levels, both within the organisation and externally.
* High level of accuracy and attention to detail.
