Job overview
An exciting opportunity has arisen to join MFT to work on a programme which aims to improve breast cancer services in Manchester. To support the continuation of this service improvement programme, we are looking for an experienced administrator with excellent organisational, IT skills and interpersonal skills.
The post-holder will work closely with the clinical team and will be a point of contact for patients and carers. The post-holder will be responsible for providing day-to-day secretarial and administrative services, implementing policies and supervising junior secretarial staff.
Main duties of the job
1. Handle patient and family inquiries with care, triage calls, and manage appointment-related advice. Provide feedback to clinical staff and communicate urgent matters to medical teams.
2. Manage clinic scheduling, arrange appointments, and monitor clinic demand and patient flow. Oversee cancellations, re-bookings, and the implementation of clinic policies.
3. Handle mail, manage booking systems, take minutes, and participate in audits. Assist with clerical tasks and procedural inductions.
4. Assist in training new staff and ensure compliance with departmental procedures and relevant training events.
5. Supervise junior secretarial staff, conduct Development Reviews, and monitor attendance and sickness. Perform other HR-related tasks as needed.

Person specification
Essential & Desirable
* GCSE Math's and English (or equivalent)
* Previous administrative experience within the NHS
* Proven experience working to deadlines
* Good oral and written skills
* Ability to prioritise workload
* At least two years previous secretarial experience
* Experience of working in a multi-disciplinary team
* Knowledge of trust IT systems
* Experience of managing a team
* Understanding of patients pathway of care through an acute trust setting
