This is a busy and varied role which is essential to ensuring smooth communication and operational coordination across the PCN and member practices.
This is a full-time office-based role working Monday to Friday.

Main duties of the job
The successful candidate will undertake a range of administrative tasks which include:
* Diarising and administrating meetings.
* Minute taking.
* Ensuring action log items are progressed.
* Some function coordination.
* Compiling newsletters and PCN-wide communications.
* Compiling reports.
* Ensuring information is recorded and filed correctly.
* Ensuring distribution lists are kept up to date.
* Project administration.

Job responsibilities
To maintain administrative systems to support the business needs.
To provide administrative support services with the production of business correspondence and documentation.
Be responsible for organising events, courses, and conferences (including hospitality and venue bookings).
Raise invoices and purchase orders.
Maintain action/activity trackers ensuring that information is continually updated.
To be responsible for the monitoring and ordering of equipment and supplies as appropriate.
Maintain confidential staff files inputting and updating records.
Maintain mandatory training and non-mandatory training records.
Draft routine HR letters and other documentation.
Assist with recruitment advertising, interview arrangements, and issuing offer letters and contracts to successful candidates.
Coordination of various monthly meetings (logistics, preparing and sending papers, following up actions, minute taking).
To organise events (booking of external venues etc.).
Undertake any training that may be required.
Undertake any other duties as may reasonably be required from time to time.
Be prepared to work flexibly, including evenings and weekends if required.
Person Specification
Experience
* Experience of organising meetings.
* Previous employment in an Administrative and/or Operational role.
* Familiar with working in an office environment.
* Experience of HR administration.
* Able to set up/manage effective document management systems.
* Excellent organisational and administrative skills.
* Experience of, and ability to present and produce clear, accurate, and concise minutes, action points, and reports.
* Ability to communicate effectively with a wide range of stakeholders.
* Knowledge of SystmOne.
* Experience of maintaining and updating websites, intranet, databases.
* Experience of financial management.

* Full driving licence and access to a car.
* Able to build and maintain good working relationships.
* Willingness to undertake further training, to learn new skills and develop within the role.

Qualifications
* Qualified to Level 3 or equivalent and both GCSE English and Maths at grade A to C or equivalent.

£25,350 to £27,300 a year dependent upon previous experience.
