Summary
This is not your usual admin job! You will visit various properties to input data and produce property reports for Letting Agents and Landlords. Properties may be vacant or occupied. You will be on your feet all day, completing inspection reports and driving around Coventry and Leamington Spa. It's an active, physically demanding role.

Work
As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
As a Business Admin Apprentice (Trainee Property Inventory Clerk) your day to day duties include:
o Collecting and returning keys to Lettings Agents
o Producing highly detailed property reports by inputting relevant property data into handheld mobile devices that contain accurate description and supporting photographs
o Obtaining all property meter readings (gas, electric and water) for the days reports
o Using own judgement in order to make sensible decisions regarding actions required during property inspections
o Checking own reports for accuracy and quality
o Completing all reports within agreed timescales
o Meeting Tenants or Landlords at properties occasionally
o Strengthening Customer relations through regular professional communication regarding property inspections face to face, by mobile and email
o Ensuring an excellent Customer experience at all times
o Resolving any customer service issues or queries from Customers
Maintaining regular and consistent attendance, punctuality, personal appearance, and adherence of relevant company policies and procedures

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.

Other requirements
We believe in being as environmentally friendly as possible and therefore walk between jobs that are located within the Birmingham City Centre instead of using transport. You will be on your feet all day, walking for up to a maximum of 30 minutes at a time whilst walking between properties which could mean walking up to 2 hours per day. Time taken to walk between properties and Letting Agents can be 5-30 minutes depending on location. You will be continuously stood up whilst report writing within the properties. In the winter properties can get cold as they will have been left empty and you will have to face the cold and rain whilst walking between properties. In the summer properties will get a little hot, as they will have been left empty. During Check Out inspections some properties may be left in a dirty/untidy condition by tenants and items will need to be handled in order to be examined (disposable latex/rubber gloves can be worn).
