An exciting opportunity has arisen for an enthusiastic and highly organised individual to join our Endoscopy Booking Team at Bolton Hospital NHS Trust. You will work alongside the nursing staff, doctors, the public, management and staff from internal and external sources through the provision of clerical duties to co-ordinate the admission of patients to the Endoscopy Unit based at Royal Bolton Hospital.
Main duties of the job
To schedule procedures ensuring that an efficient, timely and patient focused service is provided, and the clinical needs of patients are met in accordance with Bolton Health Economy Access Policy for Elective Services and NHS National Guidelines.
High levels of customer service and excellent communication and interpersonal skills are essential along with the ability to use your own initiative to solve problems as they arise.
You will have experience in an administrative role preferably within the NHS and be competent in IT within the workplace. Attention to detail and accurate data capture is paramount.
Job responsibilities
* Manage all GP referrals / booking requests in accordance with Trust standards and process these within agreed timeframes.
* Ensure that all patients are offered choice of date and time for their admissions with reasonable notice within the relevant NHS maximum waiting times.
* Provide general advice and guidance to patients and relatives when arranging admissions.
* Cancel and rearrange admissions as and when needed (via ward, consultants, patients). Liaise with Specialty Co-ordinator and Operational Managers over late cancellations and arrange any back-filling if appropriate.
* Telephone patients with details of cancellations/admissions when required, dealing with resultant patient queries in a polite and courteous manner.
* Ensure all cancelled procedures (both patients and hospital initiated) and DNAs are followed up efficiently in accordance with trust access policies.
* Keep electronic diaries up to date.
* Liaise with consultants/clinicians on a regular basis in order to manage waiting lists effectively whilst working within government guidelines (Access Targets) highlighting capacity issues to line manager.
* Adhere to all relevant national and local deadlines/targets.
* Where potential problems arise, actively contribute to how these can be resolved and suggest ways to avoid a reoccurrence.
* Work to the agreed standards in terms of appointing, data recording and management of patients on their pathway, using all appropriate Trust systems such as Le2.2, Choose and Book, Somerset and waiting lists.
* Ensure patient information is handled and held appropriately and in adherence with local and nationally agreed formats.
* Work flexibly throughout the day as the service requires, providing cross cover as needed.
* Work with clinical and non-clinical colleagues to ensure services provided are meeting needs and expectations.
* Undertake a range of administrative and clerical duties to support the Endoscopy booking processes.
* Participate in trust appraisal, mandatory and statutory training as required.
Person Specification
Qualifications
* English GCSE grade C or above
* Maths GCSE grade C or above
* NVQ 2 or equivalent qualification and experience
* Medical terminology qualification
Experience
* 2 years working in a health care environment
* Ability to deal with a wide range of people at all levels

* Be proficient in the use of computerised systems especially Word and Excel
