FRONT OF HOUSE CO-ORDINATOR
Role Remit: Receptionist/Administrative Support
Location: Glasgow
Work Pattern: 9am to 5pm, Monday to Friday
Business Unit: Operational Support Services
Role Overview: You will play a crucial role in providing Reception/Front of House duties and administration support for the Glasgow office. The position demands meticulous attention to detail and a proactive approach, ensuring a warm welcome to our clients and visitors; assisting with the provision of administrative tasks to support your office team members and also providing ad hoc assistance to the wider Operational Support Services Team.
Core Responsibilities:
* Be the first point of contact for clients and visiting team members where you'll enthusiastically represent AAB.
* Provide a warm, courteous and prompt welcome on arrival for all visitors at Reception, ensuring that all customer and visitor needs and expectations are met to a high standard.
* Maintain an accurate visitor log through the Sign-in App and provide visiting team members assistance with logistics.
* Have a full understanding of the hospitality provision and providing refreshments to our visiting clients.
* Facilitate any in-house catering requirements, ordering in a timely manner and ensure dietary requirements are catered for.
* Manage the day to day operation of the meeting rooms and calendars ensuring the rooms are always clean, tidy and ready for use. Taking a proactive approach to accommodate last minute requests and ensuring that there are no double bookings.
* Answer switchboard in a timely manner and fielding calls where appropriate.
* Process, scan and distribute incoming mail and deal with all outgoing mail in line with AAB procedures.
* Process, scan and distribute any client information that is hand delivered in a timely manner.
* Be the first point of contact for contractors and cleaners.
* Organise any required maintenance to ensure all equipment maintained as and when required.
* Be responsible for the ordering of relevant stationery and supplies
* When required, book taxis and couriers, keeping a log for recharging purposes.
* First point of contact for all team members with office related queries.
* Assist with set up of in-house events and to be on hand to assist at events (Breakfast/Lunch Seminars or Evening Events).
* Assist the other members of the Operational Support Services team, as and when required with quick, non-time critical tasks.
* Act as one of our First Aider's/Fire Warden (training will be provided).
Key Skills and Attributes:
* Excellent communication and organisational skills.
* Proficient use of Microsoft 365 (Outlook, Teams, Word and Excel) and Sharepoint is required. Knowledge of PowerPoint is advantageous.
* Ability to multi-task, being proactive with accurate attention to detail.
* Good communication skills to allow you to engage with a range of stakeholders and clients.
Role Requirements:
* Experience in an office environment (Reception/Front of House role) is required.
* An understanding of a professional services organisation is advantageous but not essential.
* A proactive and positive attitude to problem solving and the ability to work independently as well as part of a team.
