The role is responsible for providing administration support and to work with colleagues to deliver a comprehensive service. This is a varied and fast-paced role, perfect for someone who thrives on being a team player and enjoys getting stuck into a bit of everything.
Our Business Services Team is a team of seven, with four based in our London office and three based in the Glasgow office and this role will work closely with colleagues across both locations. The role will report into the Office Manager & Executive Assistant who is based in the Glasgow office
This role holder will be one of the first faces people see when they walk through our doors, so a warm, confident presence is key. Alongside front-of-house responsibilities, the role holder will provide essential administrative support to our Property and Asset Management teams and senior leaders.
Key Responsibilities:
The Administrator will be based at front of house as part of a team of two and therefore Front of House duties will be part of their daily routine: -
· Welcoming and assisting all visitors in a professional and friendly manner
· Handling incoming calls and directing enquiries appropriately
· Managing meeting room bookings, setup, and coordinating refreshments
· Handling incoming and outgoing post and deliveries
· Assisting with general office upkeep, including running errands and preparing meeting spaces
Other Administrative responsibilities will include but will not be limited to: -
· Providing travel, expense, and diary management support to Property & Asset Managers, Heads of Department, and Directors
· Preparing professional presentations, documents, and mail merges/mass communications
· Supporting colleagues across the business to deliver a high standard of service
· Managing the key register and liaising with Property Managers to track and coordinate access
· Assisting with the coordination and logistics of ad hoc corporate events and meetings
Requirements
· Previous experience in a similar front-of-house or administrative role, ideally in a corporate or professional services environment
· Excellent communication and interpersonal skills
· Highly organised with strong attention to detail
· Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
· Confident managing multiple tasks and prioritising effectively
· Comfortable working both independently and collaboratively
· Professional and approachable, with a strong customer service mindset
· Discretion and confidentiality when handling sensitive information
· A flexible attitude and willingness to take on varied tasks as needed
