Job Title: Project Support Executive Brand: Emota Location: UK: Ashby-de-la-Zouch or hybrid Reporting to: Project Director Direct report(s): None A bit about the role … You will work for one or more of our pharmaceutical clients, managing the financial aspect of the delegate experience and the technology that goes into running a successful event registration system. Your role will involve limited national and international travel and will support the Project Manager and designated team in the delivery of the delegate management experience and is based in our office in Ashby-de-la-Zouch for a minimum of two days per week. What will you do … Delegate and Database Management : · Set-up and administer event websites. Including collation of information and inputting of delegate details · Ownership and maintenance of the Cvent registration templates · Working with the team to work toward improvement and efficiency of the registration tool · Uploading data into the Cvent registration system to help complete client reporting and budget management Client Liaison and Development : · On-site attendance at events · Regular email follow-up to client to seek financial approval and payment · Partaking in regular client training Financial Management : · Setting-up and maintenance of client financial files to completion and evaluation · Ensuring all project files meet the requirements of an audit · Manage client timelines and measurements · Ownership of the delegate financial process, including reconciliation of all delegate related costs · Responsible for sending financial overviews to the client, and following up to approval and invoicing · Assist with identification and documentation of cost avoidance / saving measures · Comply with company and client invoicing processes What do you need to have … · Live within a commutable driving distance of our office in Ashby-de-la-Zouch · Client liaison skills · Team motivator and professional team member · A focus on accuracy, consistency and dedicated to customer service · High-level Excel (can maintain complex spreadsheets) and Microsoft Office Suite · Previous Cvent Experience preferable · With enthusiasm in abundance, you will be organised · The flexibility to travel overseas A bit about us ….
