Douglas Scott are on the look out for an excellent, proactive, and self-motivated Property Legal Secretary to join our leading specialist client. The role will be based at their Solihull office.

This role is perfect for a Legal Secretary who has full capabilities of producing documents using various platforms, including Word, Excel, and PowerPoint.
The Role:
1. Full secretarial support to the Private Client team
2. Diary management / arranging meetings
3. Coordinating team diaries and arranging travel
4. Opening of client files
5. Ensuring regular and efficient billing and monitoring retainer arrangements
6. Carry out copying, archiving, organisation of client files and filing systems, including electronic filing
7. Make and receive telephone calls, ensuring all calls are managed
8. Arrange couriers/deliveries
9. Dealing with invoices
10. Prepare monthly client billing, expense claims and general finance tasks
11. Maintain database with client and contact details
12. Organisation of meetings, domestic and international travel, accommodation and attendance at external events and conferences
13. Developing good working relationships with both internal colleagues and external clients and contacts as required, promoting a positive working culture and environment
14. Working across teams, including in particular business development, in promoting the interests of business
15. Draft correspondence and prepare standard documentation from audio/copy
The Candidate:
1. Previous experience working as a Legal Secretary of a minimum of 2 years
2. Fast and accurate typing speeds
3. Previous experience using a case management system
4. Conversant in document formatting including track changes, auto-numbering, and creating table of contents
5. Conversant in document version control
6. Proficient in Word, Excel, Outlook, PowerPoint, Digital dictation, and any other in-house systems in use throughout the firm
7. Proficient in diary management; meeting arrangements, telephone and email communication
8. Excellent communication skills
9. Ability to prioritise tasks and to work under pressure
10. Able to demonstrate adaptability and flexibility
11. Able to produce accurate work with strong attention to detail
12. Team player who is able to work as part of a team and use initiative but also able to work independently
