A fantastic opportunity has arisen for a Safeguarding Administrator to join our Multi-Professional Safeguarding Team in its deliverance of high-quality care to our clients and families.
This role comprises working within the maternity safeguarding assisting the Specialist Safeguarding Midwives and the Named Midwife for Safeguarding to provide comprehensive administrative support for the Maternity Safeguarding Teams based at University Hospital Lewisham and Queen Elizabeth Hospital Woolwich, using your own initiative to problem solve and prioritise the urgency of work.
You will be expected to work independently, undertaking tasks, whilst remaining under the supervision of the Maternity Safeguarding team. You will accurately update the safeguarding team’s database and transcribe information from this for statistic report writing by the Named Midwife for Safeguarding. You will organise the weekly agendas for the maternity safeguarding partnership meetings for both sites and will be required to undertake general administration duties including answering the telephone and taking messages.
You will act on behalf of the team when appropriate and as required.
You will be a point of contact for the Team by telephone and email to provide non-clinical advice and information, dealing tactfully, professionally and sympathetically with members of the public and colleagues due to the sensitive nature of calls received.
Collate and maintain data for the Maternity Safeguarding Service (MSS) whilst recording activity and outcomes in the relevant databases and IT systems provided by the Trust.
Assist the MSS ensuring guidelines/policy changes are updated and uploaded onto the intranet.
Check the generic referrals email account during the day, assist in the distribution of the Maternity Safeguarding Partnership meeting agendas and collate the agendas for the weekly Meetings with the multidisciplinary team.
Assist in the planning and delivery MSS meetings/training facilitated by the team, preparing materials, registering delegates and ensuring equipment is available.
Support the organisation of the transfer/sharing of information with multi agency partners, ensuring compliance with governance procedures as per service standard.
Collect, collate, and produce data for the MSS for their reports.
Deal with incoming/outgoing mail, sorting routine matters and re-directing mail as appropriate on behalf of the team.
Answer phone calls and record messages. Prioritise urgent messages, ensuring messages are appropriately dealt with. Retrieve paperwork previously held on file relating to a call and give to Safeguarding Midwives/Named Midwife with the message for reference information.
Establish/maintain systems to ensure the roll out of information from the department to staff in various formats and maintain and develop systems, including filing systems, for holding complex and confidential information.
