What You’ll Be Doing
Finance Support
* Assist with daily financial operations, including processing invoices, managing expense claims (and chasing VAT receipts where necessary), and ensuring supplier payments are accurate and timely.
* Keep financial systems up to date and support the preparation of financial reports and forecasts.
* Use and maintain financial systems to ensure accurate record-keeping and support the drafting of supplier and client invoices when needed.
* Provide support for month-end and year-end financial processes.
* Assist with credit control tasks as directed.
* Manage general administrative tasks, such as opening and sorting post for all departments.
Office Management
* Maintain an organised and efficient office environment, including monitoring stock levels and taking initiative to order and manage supplies.
* Answer phones, greet clients and partners visiting the office, and provide a welcoming atmosphere.
* Act as a key point of contact for office-related queries and liaise with suppliers and contractors as required.
* Ensure the office complies with health and safety standards.
* Assist with administrative tasks, such as scheduling meetings, managing calendars, and updating company records.
* Manage strategic projects that drive company growth and profitability, such as overseeing best practices for SharePoint.
* Maintain the office environment by organising communal areas, setting up meeting rooms, liaising with cleaners, and arranging catering for client meetings.
* Support onboarding processes, including setting up laptops, configuring fob access, and managing other equipment.
* Keep internal playbooks and documentation up to date at all times.
Project Management Office
* Administer our PSA (Project Service Application), ensuring sales opportunities and other data are accurate and up to date to support reliable forecasting and scheduling.
* Maintain an understanding of end-to-end client processes to ensure systems and processes run smoothly, with a focus on continuous improvement to support scalability.
* Collaborate with other departments to ensure all systems and reporting remain accurate and current.
* Support ad-hoc travel arrangements and ensure any client-related travel is appropriately expensed.

* An accounting qualification or prior finance-related experience.
