Personal Assistant to Partner/Office Assistant
We’re looking for a highly organised Personal Assistant/Office Assistant to provide vital support. In this role, you’ll be responsible for keeping everything in order—managing schedules, coordinating activities, and improving processes to enhance efficiency. Your tech-savviness and attention to detail will ensure that the team stays on track, deadlines are met, and that the partner has everything they need to succeed.
Hours of Work
* Full Time: core hours 35 hours per week, 9.00-5.00pm Monday to Friday
* Overtime working will be required, some early mornings, evenings and weekends.

What You’ll Be Doing:
* Partner Support: Manage the Partner’s calendar, coordinate meetings, and ensure they are fully prepared for every appointment and deadline.
* Drafting and Correspondence: Prepare emails, letters, and other forms of communication for the Partner, ensuring professional tone and accuracy. You will also proofread and edit documents when needed.
* Team Coordination: Act as the main point of contact for the team, helping to track tasks, ensure smooth communication, and provide general administrative support.
* Tech and Process Efficiency: Use your tech skills to streamline workflows, implement tools that improve efficiency, and keep everything running smoothly across the department.
* Document Management: Handle the opening and closing of client files, ensuring accurate filing, archiving, and secure handling of sensitive materials.
* Financial Support: Assist with reconciling credit card statements, preparing invoices, and ensuring financial records are accurate.
* Marketing and Events: Support marketing and event planning efforts, coordinate internal events, and help maintain distribution lists.
* General Office Support: Stay on top of deadlines, anticipate the needs of the Partner and team, and provide organisational support to keep everything on track.
What We’re Looking For:
* Previous experience as a Personal Assistant or in a similar administrative support role to a senior manager within a regulated professional environment (ideally within a law firm).
* Strong technical skills, especially with Microsoft Office Suite and MS Teams, and a proactive approach to using technology to improve efficiency.
* Exceptional organisational skills, with the ability to juggle multiple tasks and stay on top of all details.
* Experience managing documents and maintaining confidentiality in a professional setting.
* Comfortable with financial processes like reconciling statements and managing invoices.
* Clear, professional communication, both written and verbal, when interacting with clients, colleagues, and external contacts.
* A proactive, problem-solving mindset, anticipating needs and acting on your initiative.
