Department: Sales Reports to: Resort Sales and Revenue Manager Job Purpose & Summary Prompt and efficient management of all wedding, events and accommodation group enquiries, guest queries and requests. To welcome and build rapport with every potential enquiry, using diplomacy and effective listening. Identify the buying signals to convert the initial enquiry into a sale. Your primary focuses will be on weddings and accommodation group business whilst offering support to the Conference & Events Coordinator as and when required. To provide the highest quality of guest service standard with the aim to exceed expectations at all times, whether by operations or administration. The key objective from this role is to assist in maximising sales and revenue from all areas of the operation. Reporting directly to the Resort Sales & Revenue Manager you will help identify key growth areas in all segments below by driving all sales activity for the resort. Ideally have good working knowledge of F&B, which is an integral part of our business offering. Possess clear communication skills to liaise closely with the heads of department. KPI’s Weddings Responsible in responding to all in-coming sales enquiries to the business, writing proposals, meeting clients where necessary, converting bookings and coordinating all details relating to the booking. Support Conference & Events Coordinator during absence and annual leave periods. To manage venue show rounds for the areas stated above and represent St Mellion Estate at exhibitions and networking events when required. Conducting show-rounds of the resort facilities with potential brides & grooms. Liaising with department managers with regards to event planning and F&B requirements. Being in attendance on the wedding day to ensure the guests receive their exact requirements. Organising and attending internal and external wedding open days as required. Meeting couples to discuss their requirements and budget Coming up with creative ideas and themes when required for the wedding. Advising on wedding customs or etiquette. Making sure couples are kept up to date with wedding plans. Researching new products, services and suppliers and maintaining existing relationships. Dealing with administration, phone calls, emails and correspondence in a timely manner. Updating the website, blog or social media with recent events via the Marketing Manager. Confidence in proactively organising, hosting Wedding shows, Open days and representing at external wedding events to generate additional wedding leads. Events and Group Accommodation You will manage the administration of all group accommodation sales under the direction of the Resort Sales and Marketing Manger. You will be responsible for picking up all overflow calls for hotel and events. Managing all members events from golf match meals to hosted night events. Prompt & efficient management of all sales enquiries, guest queries and requests. Welcome and build rapport with every potential sale, using diplomacy and effective listening. Liaise with department managers and head chef with regards to group/ event requirements. Meeting organisers on day of check-in/ event as an introduction. Dealing with administration, phone calls, emails and correspondence in a timely manner. Updating the website, blog or social media with recent events via the Marketing Manager. Administration Accurate input of events/ reservations into system. Ensure proper implementation of reservations procedures. Inputting rooming lists and changes, ensuring they are free from duplicates. Reserve facilities as required review and approve running sheet. Check meal numbers and rooming list for residential events. Tour facilities and check set up of facilities meet requirements. Ensure full details of events are entered as an enquiry. Ensure all guests are checked in and out and follow up no shows and late departures. Ensuring accurate billing and invoicing is maintained as per company guidelines. Develop the event sheet liaising with department heads as required to ensure each department can supply the required service. Obtain final numbers by required deadline and notify all departments. Notify changes in planned activities to all departments. Ensure an efficient and productive tracking system of all business paper-work. Ability to work to targets and deadlines. Ensure that profit margins are maintained, agreed costs are not exceeded through effective control systems. Contracting bookings and raising invoices. Attend the weekly operations meeting.
