Legal Support Administrator
The opportunity
QBE European Operations (EO) are recruiting for a Legal Support Administrator to join our ever-growing Legal team. This role is an integral part of the team based in Leeds and will provide high quality administration and team support. This is the perfect opportunity for someone with a keen eye for detail and a passion for working with senior stakeholders in a fast-paced environment.
Your new role
1. Provide comprehensive administrative support to the legal team.
2. Manage diaries, schedule appointments, and coordinate meetings, including tracking actions and follow-ups.
3. Provide PA cover for the CLO PA during absences.
4. Provide cover to Company Secretarial Operations Lead in the production of Board/Committee packs using BoardVantage.
5. Raise purchase orders and receipt invoices accurately and in a timely manner.
6. Maintain and update budget logs, ensuring precision and adherence to budget.
7. Prepare and edit presentations, legal documents, flow charts, and mark-ups/comparisons as needed.
8. Coordinate team training and professional development, including CPD activities and renewal of practicing certificates.
9. Arrange team travel logistics.
10. Serve as the Legal Tech super user, offering guidance and support.
11. Oversee team onboarding and provide ongoing support.
12. Communicate effectively with internal and external stakeholders.
13. Maintain the legal holidays calendar and ensure its accuracy.
14. Provide support for various legal activities, including document signing.
15. Keep key documents updated, such as structure charts.
16. Manage the Legal team's intranet site.
About you
1. Previous experience in legal/CoSec roles preferred.
2. Familiarity with invoicing and budget management is preferred.
3. Familiarity with legal tech such as iManage is preferred.
4. Excellent organisational skills with a keen attention to detail.
5. Proficiency in Microsoft Office Suite and document management software.
6. Interested and proficient in graphic design and being creative.
7. Exceptional written and verbal communication skills.
8. Ability to liaise with senior stakeholders of the business.
9. Ability to work independently, manage multiple priorities, and meet deadlines.
10. Discretion and integrity in handling confidential information.
