The administrative team provide advanced administrative support to the Operations Unit. The team is responsible for the receiving and sending of mail, including applications and supporting documentation to/from those applying to the scheme. The team is responsible for responding to emails from both applicants and legal representatives, issuing routine correspondence to applicants, the accurate recording and maintenance of information on our case management system and acting as an administrative liaison between both internal and external stakeholders. Given the nature of this work and the requirement both for staff to be supported and for the service to be delivered over the course of the working day, post holders will be expected to work a proportion of the week in the office. We are looking for colleagues with strong interpersonal skills and resilience. There will be bespoke professional support covering resilience and self-care available for all staff in these roles. Responsibilities Handling of applications received - accurately creating applicant records using the Case Management System (CMS), including the scanning and recording of personal documents. Responding to general enquiries in relation to applications from both applicants and legal representatives. Responsible for initial triage of applications, identifying outstanding information and signposting applicants on how to progress this. General administrative duties, including filing, scanning, photocopying, acknowledgement and secure inward, outward and onward processing of mail, in a timely manner. Working collaboratively with case workers and other colleagues to help continuously improve processes and provide a high level of service. Working closely with both case workers and unit managers to offer day to day support. Management of consumables i.e. printed application forms, guidance etc. and other stationary items. Work flexibly as part of a team to perform other tasks as required.
