Title: Office Manager/Administrator Type: Permanent Hours: Part Time (approx. 16 hours per week) Starting Salary: £30,000 approx Details: Our client currently has an excellent opportunity for an Office Manager/Administrator to join their Inverness Office on a part time basis for approximately 16 hours per week with a degree of flexibility to suit. This role would suit an experienced individual, seeking to utilise administrative skills in a creative environment. Duties include: Organising meetings, assisting with project tasks, as well as financial management duties and carrying out monthly financial tasks, reporting to the Company Directors. Receive / handle calls and email communications. Responsible for the day-to-day financial matters including timesheet records and fees, taxation, liaison with the company accountant and the bank, timeous payment of taxes to HMRC and reporting all matters regularly to directors. Take minutes of internal meetings. Assist the management team in preparing and issuing Standard Terms, Fee Proposals and Programmes. Document control for projects when required; ensuring that drawings and other associated documents are digitally filed, maintained and issued in an efficient manner. Monthly updating of the ISO9001 process with the responsible Director and keeping all necessary records. Provide organisational assistance at annual events. Filing and archiving of project documentation. Person Specification: Minimum 1 2 years relevant experience within a similar administrative/co-ordination role. Friendly, approachable manner. A good working knowledge of Microsoft packages including Word, Excel, PowerPoint and Outlook. Experience using Quickbooks would be an advantage, although training will be provided. Ability to work with accuracy and attention to detail. Initiative, resourcefulness and proactivity in approach to daily tasks. Strong organisational skills. Great written and verbal communication and interpersonal skills. The successful applicant will receive substantial training and guidance during a crossover period.
