Overview
As Support Services Coordinator, you will be part of the Central Support Services Team responsible for delivering business-wide support to all areas of Secureshield’s operation.
Reporting to the Support Services Director and working with colleagues across the wider business, you will support on tasks and projects aimed at delivering continuous improvement, quality assurance and ensuring that Secureshield operates efficiently and safely.
Working as part of the Support Services team, you will be responsible for supporting the build of monthly performance reports detailing contract performance as well as identifying performance opportunities across the Secureshield field teams.
In this diverse role you will be involved in a wide array of projects and be expected to work between different departments as assigned.
Key Responsibilities
Your responsibilities for this role will include but are not limited to:
* Complete general administration duties including word processing, dealing with internal queries, creating, and maintaining electronic filing systems such as Teams & Sharepoint, and using Office applications to produce documents, spreadsheets, and databases.
* Working in partnership with key functions such as Sales, Operations, Service & Finance to support the completion of full project lifecycle including the checking of job pack accuracy, production of O&M manuals and Service handover.
* CAD duties – Post order design assistance.
* Invoicing interim applications and forecasting. You will also be responsible for subcontractors orders and invoicing.
* Creating, operating and maintaining our Quality Management System document library.
* Complying with relevant regulation and legislation. Work to ISO standards for all documentation processes.
* Assist in the creation of monthly management reports that measure compliance and business performance.
* Prepare, share, and create business communications and monitor compliance of same through online portals.
Provide support and development of service and compliance initiatives aimed at driving continuous improvement across the wider business.
* Support all departments as required during busy periods and annual leave / sickness.
* Participate in the annual performance review process and take ownership for your own development needs.
* Maintain strong relationships with clients, sub-contractors, suppliers, and field engineers.
* To provide a positive experience for customers (external or internal) ensuring prompt and accurate information is captured.
* Support on the delivery of any other reasonable project requests from the Support Services Director.
Experience for the Job
* Previous experience working in a Business Support role.
* Experience in CAD design/drawing desirable, however full training will be given.
* Excellent organisational skills, with an ability to manage, organise, and control your workload against competing deadlines within a demanding and ever-changing environment.
* Flexible, Team player and excellent attention to detail.
* Fantastic customer service skills.
* Ability to engage positively with colleagues and customers at all levels.
* Strong analytical and problem-solving skills. Ability to simplify complex problems and implement innovative solutions.
* 1-3 years of industry experience or a related customer service experience required.
* Proficient skills in Microsoft Office, including Microsoft Word and Microsoft Excel.
* The ability to investigate and resolve issues systematically.
* Ability to work under own initiative & self-motivate.
* Be an ambassador for Secureshield at all times, displaying quality and excellence in all dealings with external and internal customers and suppliers.
