This role will oversee a small PMO function, ensuring the safe, profitable and quality delivery of all externally required installation projects, in line with client expectations and Company policies and procedures.
As well as supporting members of the PMO team to deliver their allocated projects, this role will take direct responsibility for various projects on a needs or risk basis, and this may vary from a single large project of a contractual nature, or several low value projects.
Key skills & Duties
Team Management
* Work in collaboration with the Sales team, to identify projects that require a PMO service, and allocate workload effectively across the resources available within PMO.
* Proactively support your team to ensure they have the capacity and the capability to deliver their allocated projects to a high standard, in line with client expectations and Company process and policies.
* Monitor all project progress and escalate any project or team concerns in a timely manner to avoid project disruptions.
* Take people management responsibility for the PMO team, including setting and tracking of objectives and conducting annual performance reviews and regular 121s.
Client Engagement & Project Organisation
* Attend pre-start meetings and work in conjunction with the relevant Key Account Manager, to create a detailed project scope, managing the client expectations and the impact to the business throughout.
* Create and maintain accurate and detailed records throughout a project, including agreed variations, project programmes and delivery schedules.
* Track and report on all forecast and actual project budgets, ensuring internal Finance teams are aware of project slippage and budget risks.
* Review projects drawings and identify gaps, linking any specific requirements to the project programme.
* Proactively identify specialist works as part of the contract and outline any implications.
Effective Communication
* Liaise with installation sites to arrange and attend meetings as required to establish start dates and confirm detailed programme in line with client requirements.
Communicate actions and develop working agenda for meetings linked to project progress.
* Organise labour requirements in line with workload and budget.
* Consider and manage all programme interdependencies, regularly reviewing the project plan against live performance and addressing any issues.
* Manages all actions through to completion, ensuring client sign off and agreement.
* Maintain accurate tracking of all projects, and report on live progress to relevant stakeholders as and when required.
Health & Safety Awareness
* Prepare and maintain accuracy of all relevant health and safety documentation including RAMS, as required for all allocated projects.
* Undertake thorough and regular site visits to ensure full compliance with all H&S and RAMS requirements and verify that welfare and site services are fit for purpose.
* Regularly review any training requirements for our internal PMO team and certify that all site personnel are adequately qualified.
* Ensure all site inductions are completed, and non-compliance issues addressed ahead of installations.
Third Party Management
* Review method statement of each contractor and validate proposals against drawings and project plan.
* Communicate necessary actions and develop working agendas for all meetings.
* Ensure high quality services are delivered throughout the project, escalating any issues.
Project Analysis & Continuous Improvement
* Arrange and conduct full site inspection on completion.
* Arrange and manage project presentation to client at handover
* Ensure all specialist requirements including performance testing are witnessed and approved as required
* Organise and deliver lessons learnt workshops to gain project feedback and highlight opportunities for continuous improvement within the PMO function as a result.
* Proactively work to embed consistent approaches across the PMO function including a risk management culture and relevant processes
* Distribute and review customer satisfaction surveys as and when required.

BIM Level 2 awareness
CSCS card
Microsoft Project experience
