Job Description - Workforce Management Team Lead - (Admin and Secretarial)

Key Responsibilities for Workforce Management Team Lead
1. Lead and mentor a team of Workforce Management Coordinators.
2. Foster a collaborative team culture focused on accountability, performance, and continuous improvement.
3. Provide training and development to improve planning skills and knowledge.
4. Conduct regular performance reviews and provide constructive feedback.
Workforce Planning & Scheduling
1. Oversee staff scheduling and shift planning to ensure optimal coverage and flexibility.
2. Respond swiftly to changing operational demands and adjust staffing levels accordingly.
3. Ensure fair allocation of shifts while complying with legal, contractual, and business requirements.
4. Maintain a proactive approach to demand forecasting and seasonal planning.
5. Monitor timekeeping records for accuracy and payroll alignment.
6. Ensure adherence to UK employment law, working time regulations, and internal policies.
7. Support audit readiness by maintaining clear and accurate workforce documentation.
8. Drive best practices and compliance across all workforce management activities.
Stakeholder Collaboration
1. Liaise with department heads, HR, and operations teams to anticipate workforce needs.
2. Act as the go-to point for workforce-related concerns and problem resolution.
3. Deliver timely and proactive staffing solutions to meet business priorities.
4. Build strong internal relationships to support overall business goals.
5. Manage staffing agency partnerships to align with planning needs and business standards.
6. Ensure agency workers meet compliance, conduct, and performance expectations.
7. Review and evaluate agency contracts and costs to maximize value.
8. Address agency performance issues and escalate where necessary.
Reporting & Analysis
1. Produce regular reports on staffing levels, performance metrics, absenteeism, and trends.
2. Use data-driven insights to optimize workforce allocation and planning processes.
3. Present findings and recommendations to senior management.
4. Contribute to strategic workforce decisions based on accurate forecasting and analysis.
5. Use workforce management tools and systems to streamline scheduling and tracking.
6. Maintain accurate data input, updates, and system integrity.
7. Champion the adoption of digital tools and process automation.
8. Train team members on system usage and updates.
Skills & Experience Required
1. Bachelor's degree in Human Resources, Business Administration, or related field.
2. Minimum 3 years of workforce management experience, with at least 1 year in a leadership role.
3. Strong understanding of workforce planning tools (Excel, Microsoft Access, or similar software).
4. In-depth knowledge of UK labour laws and compliance regulations.
5. Exceptional communication and interpersonal skills.
6. Strong analytical and problem-solving skills.
7. Experience in airline catering, hospitality, or a similar high-paced environment preferred.
8. Ability to work effectively under pressure and adapt to shifting priorities.
