An exciting opportunity has arisen to join our dynamic and growing Thoracic Clinical Nurse Specialist team at University Hospital Bristol and Weston NHS Foundation Trust as part of a newly created administrative assistant role. You will be part of a well-established and nationally recognised Clinical Nurse Specialist team, working alongside thoracic surgeons and other multidisciplinary lung cancer teams across the South West region to provide efficient, coordinated, and outstanding care for lung cancer surgical patients.
The job involves working with the thoracic clinical nurse specialist team, assisting with administrative tasks as well as linking with other healthcare professionals to ensure a seamless pathway for the lung cancer surgical patient.
The advertised post is part-time, 22.5 hours a week.
Main duties of the job
* Print out clinic lists for CNS team prior to clinic session and manage actions generated from clinic list review.
* Manage CNS diary and shared drive including appointments with Medical Representatives.
* First port of call for telephone queries for CNS team.
* Typing of all CNS clinic and correspondence letters and filing.
* Input data collected by CNS team.
* Ensuring case notes are correctly traced onto their next location.
* Dealing with telephone enquiries from hospital staff, general practitioners, patients, and others, and liaising with relevant departments.
* Take accurate messages and pass them onto the appropriate person if unable to help with the query.
* Checking investigation reports and sorting accordingly for relevant team’s attention.
* Typing of Clinical Nurse Specialist letters and filing of letters once typed.
* Ordering stationery for the CNS team.
* Responsible for entering and updating accurate information on Care flow and utilising Care flow to check patient appointments.
* Use IT systems to communicate effectively and efficiently e.g. Microsoft Office including Outlook and Word, Excel, CDS, ICE, Criss viewer, and Care flow.

Person specification
Knowledge and experience
* Clerical/administrative experience, including filing and/or reception.
* Experience of dealing with the public, both on the telephone and in person.
* Previous NHS experience.
* Experience of using a Patient Administration System.
Skills and Abilities
* Effective and polite manner when dealing with people, both face to face and on the phone.
* Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy.
* Ability to work effectively in a busy team, adjust to change and motivate others.
* Confidence to handle difficult conversations with patients, relatives, and carers.
* Effective organisational skills.
* Good IT skills including Microsoft packages.
* Ability to work on your own, using your own initiative if required.
* Working knowledge of outpatient policies and procedures.
Qualifications and Training
* Educated to GCSE, grade C or above (or equivalent) in English Language and Maths.
* NVQ Level 3 or 2 A/AS Levels or have equivalent work/appropriate experience to this level.
