The job in a nutshell We have a great opportunity for a People Administrator to join our team of 7 on a fixed term basis in Basingstoke, this role is a 12-month fixed-term contract to cover maternity leave. In this role, you will provide People administration support for all aspects of the employee life cycle and be the first point of contact for general People queries from across the business. Who you will work with Internal: People Director Senior People Business Partners Compensation and Benefits Business Partner Compensation and People Administrator Wider business External: Recruitment agencies Training providers Charitable Organisations What you will do Support with the recruitment process - advertising roles internally and externally and on occasion attending interviews with line managers. Issue offer letters & contracts, ensuring reference checks are conducted and all new joiner paperwork, including Right to work documents, have been signed and returned. Support the employee lifecycle from holding new joiner inductions to exit interviews. Follow up on probation periods and any extended periods. Manage the day-to-day inputting of data into the HR system (Success Factors) with accuracy and ensure the People tracker (Excel spreadsheet) is up to date. Be the first point of contact for data entry queries on Success Factors. Support Senior People Business Partners and line managers when required with employee related issues (Sickness Absence meetings, Welfare meetings, investigations, taking minutes in disciplinary meetings etc). Manage the People team inbox and escalate emails where appropriate. Generate letters and employment related documents such as changes to employees’ terms & conditions, maternity / paternity letters, resignation acknowledgment letters etc. Ensure absence and RTW (return to work) forms are correctly added to the system. Run and review absence data across the business on a regular basis/ run long service award report and support with organising relevant milestone gift for colleagues. Act as first point of contact for general HR queries relating to Company policies & procedures. Provide training administration support where required including booking colleagues onto WSET courses, First Aid courses etc, and organising company inductions. Support with managing PO’s & Invoices. Support and update content on the People Intranet (Wellbeing, People updates, Volunteering opportunities). Support key projects within the People team and carry out any ad hoc duties in order to support and develop the People team. Any other reasonable tasks as necessary.
