Property Manager Ref: VN076 London, UK The Opportunity We are seeking a highly motivated and experienced Property Manager to join our dynamic team. In this role, the Property Manager will be the relationship holder and the primary point of contact for all Occupiers, responsible for the daily operational communication of the estate. You will ensure the consistent delivery of high customer service standards in accordance with agreed targets. You will supervise the contractors to ensure they perform operations properly and have experience in residential property or building management. Main Responsibilities Ensure all client and contractual customer service KPI’s are achieved and where possible, exceeded. Ensure that the client meets the highest standard of customer service and oversee continual improvement of services for our Occupiers. Ensure the team maintains excellent performance standards, demonstrable in occupier feedback and questionnaires. Respond to occupier feedback, ensuring that any complaints are resolved quickly and appropriately. Assist the Senior Property Manager in financial management of the contract, including apportionment of service charges. Oversee the operations and maintenance of properties and grounds and manage repairs and refurbishments by liaising with and hiring external contractors or service providers when necessary. Maintain building safety to protect occupants and visitors, overseeing fire prevention and security systems. Hire, train, supervise, evaluate and discipline maintenance, security, cleaning staff, and M&E contractors. Liaise with external contractors and service providers and negotiate prices. Maintain records relating to maintenance, costs, and building occupants. Recommend preventative building works and refurbishments. Manage the car park & permits. Ensure buildings comply with relevant codes and regulations. Ensure Health & Safety and Fire Risk Actions are followed through and actioned and reported. Be responsible for sales packs, transfers, pet consents and any other admin related work. Ensure Qube is updated with the relevant lessee details. Audit against agreed procedures and processes, in line with specified standards, and track any actions raised through to suitable resolution. Build relationships with all existing Occupiers and assist with all queries. Produce monthly performance reports to both the client and Macro. Handle and manage the BAU requests from occupiers. Work closely with all stakeholders, including but not limited to the Landowners, Occupiers within the retail space and local authorities. Support the FM and Senior Property Manager in ensuring all services are delivered to the required standards and contractual arrangements. Optimise stakeholder satisfaction through KPI's and Occupier questionnaires. Hold Occupier and Landlord meetings and communicate all matters arising to stakeholders. Be the relationship holder for all service charge enquiries. Ensure compliance with all Macro policies and procedures. Support the AFM with compliance to all Statutory requirements, Quality and QHSE. Lead, implement and communicate all emergency responses. Continually seek improvements to the estate, arranging and attending meetings to aid the future development of the business. The ideal candidate will have: Experience in the management of residential/estate management. Experience in Tenant/Occupier Engagement. Good working knowledge of health and safety practices and/or a relevant health and safety qualification i.e.: IOSH, NEBOSH or equivalent. Effective communication skills. Good administrative and numerical skills. A flexible and adaptable attitude regarding working hours to fit business needs. Sound IT literacy, proficient in MS Office, especially Excel. Willingness to undergo security vetting and/or DBS checking. The ability to lead and motivate team. Excellent written and verbal communication skills, including demonstrable presentation skills. The capability to build and maintain client relationships. Enthusiasm and the ability to inspire others.
