Job Title: Projects Team Assistant Department: Operations Location: Head Office (Stafford) Position: Full Time Hours: 41.5 Principle Purpose of Position: A fantastic opportunity to support the daily administrative and reporting needs of both our growing Operations Team and the Head of Operations. You will work in a dynamic and supportive environment, collaborating with key professionals and team leaders. This new role also involves assisting with any initiatives and projects being worked upon, helping them to run smoothly by facilitating clear communication and information sharing within the team. Support our key objectives by playing your role in a team that delivers excellent customer service and strong internal collaboration. Key Roles and Responsibilities: Coordinate team meetings, agendas and minute production. Bring together regular reports and team statistics from information available within the team. Maintain action lists and prepare action reports. Raising of Purchase Orders. Receive, Log and File key data received from sites – Photographs, Completion certs etc. Manage the Training Matrix for the Fitting Teams and ensure their respective qualifications are logged and kept upto date. Support with any companywide projects / initiatives, including any confidential projects. General admin support (e.g. data processing and other areas) for the team enabling them to focus upon active installations. Including managing and organising the Team email inboxes. Communicate directly with staff on matters/queries relating to the team as directed. Undertake process compliance checks – To ensure that the Team are complying with internal processes. Continually look for opportunities to streamline processes and activities. Maintain the filing structure within the department’s server drive. Coordinate all User Manual requests from our customers. Act as an in-office point of contact for Project Managers & Design Surveyors to support them whilst they are out of the office. Assist with the booking of Site Surveys by creating survey packs and issuing calendar invites. Support the Head Of Operations with ad hoc projects as relevant. Skills: Excellent organisational, planning and prioritisation skills to ensure that deadlines are met, even in busy periods. Highly IT proficient, to manage, update and use systems effectively. Software currently used: MS Office (Word, Excel, PowerPoint) and ERP Software (Dynamics NAV – internal training provided, with eventual proficiency expected). Strong attention to detail and timekeeping. Excellent communication and written skills. Ability to work with professional discretion/confidentiality. A general Business/Commercial understanding is initially helpful, but not essential. Experience & Qualifications: No formal qualifications required. Proven experience in an office environment, successfully having worked in a support role. An interest in Project Management, with a passion for great customer experiences.
