The Event Coordinator supports the Events Manager and Operations Team in creating and delivering year-round experiences. The role involves planning and executing events to a five-star standard, ensuring guest satisfaction from arrival to departure. The coordinator will adhere to departmental goals, uphold performance standards, and comply with relevant workplace legislation.
Key Responsibilities and Accountabilities
1. Liaise with clients via phone, email, Zoom, and in-person to plan small events from confirmation to post-event follow-up.
2. Conduct site visits and planning meetings for small events.
3. Coordinate with the Events Manager to ensure smooth event execution.
4. Manage small and micro wedding day coordination until guests are seated.
5. Collaborate with the Hotel Operations Team throughout event planning.
6. Create and maintain internal event documents detailing guest requirements.
7. Ensure all client discussions are accurately recorded.
8. Suggest enhancements and upselling opportunities to guests.
9. Book event spaces, activities, and experiences using internal systems like ResDiary, Monday.com, and Checkfront.
10. Update rooming lists and notes in the PMS system (Clock).
11. Maintain the event calendar and booking availability.
12. Support reservations with event-related bookings and cancellations.
13. Build relationships with event suppliers.
14. Present small events at weekly management meetings.
Requirements
* Proven experience in event planning or administration; hotel experience is advantageous.
* Proficiency in MS Office.
* Excellent communication skills.
* Strong command of English, both verbal and written.
* Experience in event operations and delivery.
* Exceptional organizational and time management skills.
* Creative mindset with proactive initiative.
* Attention to detail.
Qualifications and Experience
Minimum 1-2 years’ experience in event planning, preferably in a hotel or wedding setting, or a relevant degree in Events Management.
