The Technical Administrator is responsible for the coordination of all administrative works in organising PPM activities, compliance documentation and reporting PPM's, whether that be self-delivered or through a subcontractor.
Job Description
The Technical Admin will ensure that PPM's are completed in accordance with the contract and see remedial works to completion. It is key that the Technical Admin portrays a positive reflection of ISS to the customer and behaves in a professional manner at all times.
The Tech Admin (Scheduler/Planner) role is focused on managing the scheduling, planning, and resource allocation for tasks within the organisation using a digital CAFM (Computer-Aided Facility Management) system, specifically PlanOn.
The role involves transitioning from a paper-based system to a digital solution, streamlining the planning of both preventive (PPM) and reactive maintenance tasks. This position is crucial for ensuring that all maintenance, compliance, and non-compliance tasks are properly scheduled, tracked, and completed efficiently.
Key Responsibilities
* Manage and maintain the CAFM system (PlanOn) to schedule and plan both PPM (Planned Preventative Maintenance) and non-compliant tasks
* Transition the organisation from paper-based task management to a fully digital system, ensuring smooth operations
* Allocate resources and personnel for maintenance tasks, ensuring optimal use of staff and materials
* Track task completion, monitor deadlines, and report on outstanding work or issues
* Liaise with other departments to ensure effective communication regarding planned and reactive tasks
* Generate reports for management to monitor compliance, task progress, and resource allocation
* Support continuous improvements in planning and scheduling processes to enhance operational efficiency
* Provide monthly progress reports
Professional and Personal Competencies/Qualifications
* Developed IT skills (Microsoft tools e.g Word, Excel etc)
* Experience of working with a static engineering team
* Excellent customer relationship skills and the ability to positively deal with difficult situations
* Good written and interpersonal skills
* Excellent planning, organising & problem solving
* Experience in Maintenance Administration
