Role profile We have an opportunity for a Reservations Administrative Assistant to join our Real Estate team in our Bristol office. This role will work closely with our conveyancers, processing sales reservations from our house builder clients, and providing wider administrative support to ensure new home sales transactions are completed smoothly. This role is based in our Bristol office with the opportunity for some home working. The Team You will be a part of the Plots team, which sits within Real Estate and works closely with other areas of the business. The team is based both in Bristol and Reading and consists of 15 conveyancers and 9 administrative assistants. Our clients are some of the UK's leading housebuilders including Barratt Redrow, Bloor and Vistry. Our administrative team plays a key role in the new homes sales process from start to finish, providing administrative support to the Plots conveyancing team. Key role responsibilities Processing all new home sale reservations received from our house builder clients, receiving workflow and instructions from our admin team leader Ensuring that sale reservation forms are processed correctly and efficiently through our case management system, and within strict KPI deadlines Creating and sending initial letters, sale contracts and accompanying documentation Liaising with our client's sales teams regarding reservation forms, as required Providing administrative support to the conveyancing team according to operational demands Dealing with enquiries from our clients, buyers' solicitors and colleagues, ensuring effective and accurate transfer of information Maintaining matter documentation in both hard copy and electronic files, amending and formatting documentation as necessary, to ensure information is correct Contributing to and actioning group inbox workstreams, organising your workload to ensure deadlines are met and all tasks are completed Key skills Excellent IT skills (Microsoft Word, Excel, Outlook) with the ability to learn new systems quickly High attention to detail with the ability to spot errors Highly organised and able to prioritise work to meet deadlines and KPIs Excellent written and verbal communication skills Ability to work under pressure in a fast-paced environment Excellent team player with the flexibility to work on a wide range of tasks Proactive approach to workload, with the ability to work with minimum supervision Our recruitment process We welcome direct applications for our opportunities - please contact Patrick Fermin Ryan for further information.
