We have an exciting opportunity for a People & Culture Executive to join the team.
Job Purpose
The People & Culture Executive plays a crucial role in supporting the People & Culture strategy, focusing on administrative tasks related to HR and Learning & Development (L&D), recruitment, onboarding, HR services, HR metrics and reports, and L&D administrations. The successful candidate will also be the main person responsible for creating and managing staff engagement activities, Social and Environmental initiatives, and fostering a positive work environment.
Key Responsibilities
1. Administrative Tasks
* Handle administrative duties related to HR and L&D, including recruitment, onboarding, HR services, HR metrics and reports, performance management, compensation & benefits and L&D administrations.
* Ensure all information and documentation (both written and digital) is kept confidential and absolute discretion is maintained, complying with the Data Protection Act.
* Prepare notifications on starters, leavers, and changes of circumstances for payroll.
* Liaise with the accounts department and HODs regarding payroll information to ensure timely and accurate reporting by the payroll ‘cut-off’ date.
* Maintain HR filing systems and archives, both manual and digital.
2. Recruitment and Talent Management
* Create and maintain job descriptions and adverts for all positions.
* Plan, prepare, and conduct selection interviews for employees as required.
* Facilitate the onboarding of new employees, offering a welcoming approach and support Head of Learning & Performance to provide a general company induction (including basic fire, health, and safety rules) before introducing new colleagues to their departments.
* Ensure that all reference requests for new employees are applied for as soon as practicably possible.
* Conduct exit interviews and address any anomalies that occur.
* Work with managers to reduce turnover and create strategies to address relevant issues.
* Collaborate with the Assistant P&C Manager and Head of Learning & Performance to create relationships with educational and hotel management schools for internships and work experience in the UK and overseas (if applicable).
3. Employee Relations
* Act as a trusted advisor to managers and team members on HR and payroll issues, providing guidance on policies, procedures, and best practices.
* Support and coach line managers with welfare meetings, investigations, and other formal meetings.
* Attend management meetings and staff briefings to discuss relevant HR issues.
4. Learning and Development
* Liaise with the Head of Learning & Performance and Operations Training Manager in organising training courses for all employees using internal systems (e.g., FLOW) and external courses (e.g., WSET).
* Be responsible for own development, keeping up to date with developments in HR/training by reading relevant journals, attending meetings, and participating in courses to ensure continuous personal development.
5. Staff Engagement and Environmental, Social & Governance (ESG) Initiatives
* Create and manage staff engagement activities, including organising staff parties and social events to aid employee motivation.
* Facilitate the administration and upkeep of the Reward Gateway online benefits system.
* Work within the HR team on the engagement survey, extrapolate data, and present findings with recommendations for the business.
* Lead and manage ESG and well-being activities to promote sustainability and social responsibility within the organisation.
6. Other Duties
* Conduct administrative duties, including typing and dispatching letters and other documents.
* Carry out any other reasonable duty to assist in the smooth running of the department.
* Comply with statutory requirements regarding the workplace, such as employment law, health and safety, hygiene, and fire prevention.
Qualifications and Experience
* A minimum of 18 months of HR experience, preferably in a luxury hospitality or service-oriented environment.
* Proven experience in HR services and HR administrations, and learning & development administrations.
* Good knowledge of UK employment laws and HR best practices.§ Ability to work collaboratively and build strong relationships across all levels of the organisation.
