This role is integral to ensuring the smooth operation of the department’s administrative tasks, from day-to-day operations to financial and asset management. Administrative & Office Management ○ Handle a wide range of administrative tasks to support the department’s operations. ○ Maintain office systems, update documentation, and ensure compliance with company standards. 2. Invoice & Financial Administration ○ Oversee and process incoming and outgoing invoices, ensuring accuracy and timely payments. ○ Track financial records and follow up on overdue invoices. 3. Reporting & Compliance ○ Maintain and update various departmental reports, ensuring accuracy and accessibility for relevant stakeholders. ○ Regularly review and update office paperwork and internal procedures to meet company regulations. 4. Asset & Storage Management ○ Track and manage company assets, including inventory and equipment, ensuring they are maintained to high standards. ○ Oversee internal and third-party storage systems, ensuring compliance with guidelines. 5. Contractor & Supplier Coordination ○ Manage relationships with contractors and suppliers, ensuring compliance with service agreements. ○ Assist in onboarding and evaluating contractors to meet operational needs. 6. Customer & Complaint Handling ○ Support complaint management, ensuring professional and timely resolution. ○ Work towards continuous improvement in service delivery and customer satisfaction. 7. Team & Administrative Support ○ Provide general administrative assistance to the department and senior management. ○ Coordinate meetings, handle correspondence, and maintain organised filing systems. ○ Foster collaboration within the team to ensure smooth communication and workflow. Key Skills & Qualifications: Essential: • Proven experience in a senior administrative or office management role. • Strong organisational skills with excellent attention to detail. • Effective written and verbal communication skills. • Experience managing invoices, reports, and administrative systems. • Ability to prioritise tasks and work efficiently under pressure. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Strong problem-solving abilities and the ability to work independently.
