Executive Assistant to Business Owner - Job Description
This role offers 1:1 training and mentorship with the business owner, who brings experience across multiple business operations and a wide range of sectors. It’s a key opportunity for someone who wants to grow with the company and develop leadership skills for future career progression.
This is not a standard Executive PA position — it's a strategic role at the core of the business. As Executive Assistant, you will work closely with the business owner, acting as the glue that keeps the team aligned and the business moving forward. You’ll play a pivotal role in supporting company growth, team development, and performance accountability.
This position requires someone who has previously operated in or alongside business operations and understands how different functions of a team fit together. You don’t need to manage daily operations, but you must be experienced enough to spot inefficiencies, ask the right questions, and help keep key players on track.
Key Responsibilities:
1. Calendar and Schedule Management: Efficiently manage the business owner's calendar, including scheduling meetings, appointments, and travel arrangements, while anticipating and resolving potential conflicts.
2. Communication Management: Serve as the primary point of contact for the business owner, handling incoming and outgoing communications, drafting and reviewing emails, and managing phone calls and messages with discretion.
3. Travel Coordination: Arrange complex travel itineraries, including booking flights, accommodations, and transportation, and prepare comprehensive travel agendas.
4. Meeting Support: Prepare meeting agendas, documents, and presentations; attend meetings to take minutes and ensure timely follow-up on action items.
5. Administrative Support: Organize and maintain files and records, both physical and digital, and perform general administrative tasks to support the business owner.
6. Project Coordination: Assist in planning and executing projects, collaborating with internal stakeholders to ensure progress and outcomes align with the business’s vision.
7. Event Planning: Coordinate logistics for internal and external events, such as conferences and executive retreats.
8. Driving and Flexibility: Occasionally drive the business owner or other stakeholders to meetings or events. Flexibility with working hours is essential to accommodate business demands.
9. HR & Recruitment Support: Assist the business owner in hiring new team members and coordinating HR-related processes. You’ll help ensure that candidates align with the company’s culture and standards.
10. Accountability & Performance Monitoring: Support the business owner in holding senior team members accountable to their KPIs and scorecards. Help ensure that individuals and departments are aligned with company goals.
11. Confidentiality and Discretion: Handle sensitive and confidential information with the utmost professionalism and integrity.
Requirements:
• Minimum 5 years of experience as an Executive Assistant or in a similar senior support role
• Prior exposure to business operations (even if not directly managing them) is essential
• Comfortable liaising with senior leadership and department heads
• Strong interpersonal and communication skills
• Highly organized, proactive, and solution-oriented
• Valid driver’s license and ability to drive as needed
• Flexibility with working hours, including availability outside standard business hours when necessary
Salary and Benefits:
Starting Salary: £40,000+ (Negotiable depending on experience)
