Salary: £22,000 - £24,000 Per Annum.
Location: Grangemouth, FK3.
Schedule: Monday - Friday, No Weekends.

About The Role:
The company recognises that the Administration Assistant is one of the most important roles within their business. We are looking for an individual who has at least 5 years administrative experience that can influence and help improve our administrative systems.
Primary Duties & Responsibilities Include:
1. Acting as a point of contact for customers, clients or suppliers via email, over the phone or in person.
2. Processing invoices, tracking receipts, inputting expenses and other basic bookkeeping tasks.
3. Providing administrative and clerical support, within the main Office and occasionally one of our off-site locations, particularly client appointments and the maintenance of the OH records and databases.
4. Co-ordinating/supporting the health surveillance recall programme for those clients who are required to be assessed.
5. Creating and preparing information/posters for health promotion events (blood pressure, men's health, ladies health, mental health support).
6. Processing pre-employment health assessment forms, monitoring and actioning new email enquiries sent to the OH team (Scheduling office meetings between teams, managers).
7. Ordering new office/medical equipment.
8. Accurately maintaining all confidential files and clinical data, taking account of the GDPR, patient confidentiality, and Information Security policies.
9. Producing and monitoring KPI's monthly, keeping ISO 9001 updated and attending annual audits.
Candidate Key Skill Requirements:
1. Microsoft Office 365 - knowledge on all MS applications; including Word, Excel, Access, PowerPoint, PC fundamentals and Cyber Security.
2. I.T - General I.T skills in computer literacy and previous administrative experience.
3. Creative - creating professional advertising content, client information booklets, and posters.
4. Organisational - the ability to prioritise workload and work towards tight time frames and deadlines.
5. Responsibility - ability to acknowledge workload and take responsibility for objectives and to achieve goals.
6. Team Player - The most important aspect of this role is to have a good sense of humour and be an interactive member of our team.
