Collate data to understand Practice capacity performance measures. Including data in regard to improved access, neighbourhood plans, frailty, cancer, nursing homes projects and any other performance measures that may be required. Support the PCN business manager with the capacity and access plans and look at triage processes across all Practices Convene meetings, prepare agendas and paperwork, take minutes and ensure distribution of minutes as necessary. Proactively manage the action log and ensure that assigned actions are being completed Prioritise and be responsible for own workload, to ensure all deadlines for correspondence, production of reports, and agenda items are met within the required timescales. Work with Practice Managers across the Primary Care Network. Attend any staff meetings. To provide support to the PCN Business Manager in project work, and in the running of key systems and procedures such as PCN staff rota's, Induction, conferences and PCN Practice Meetings. Work with the member practices to: -Ensure the PCN supports member practices to deliver services efficiently, in particular to ensure achievement of the Impact and Investment Fund and essential targets The post-holder will need to become familiar with all functions of the Emis Web clinical system and their applications, Teamnet and any other deployed IT systems across the PCN. To be the first line of contact for patients with respect to the complaints procedure and to take appropriate action as set out in the Business complaints procedure, with the support of the PCN Business Manager where appropriate. Act as the primary point of contact for NHS(E), ICB, community services, suppliers and other external stakeholders in the absence of the Business Manager Prioritise communications ensuring urgent matters are addressed by appropriate colleagues in a timely manner whilst taking responsibility for dealing with these personally in a professional manner. Provide reports to the PCN board members on the delivery of services including performance against agreed targets, objectives and finances HR Administration Manage employee records, ensuring accuracy and confidentiality. Maintain annual leave, sickness and time off in lieu records, co-ordinate leave requests. Implement and assist in the management of HR system for staff employed by Glossop Primary Care Network. Facilitate the recruitment process by coordinating job postings, scheduling interviews and communicating with candidates. Assist in on boarding new employees by preparing documentation, conducting orientation sessions, and facilitating training as required Including plan and implement induction packages for new starters and on-going reviews with the lead practice. Ensure references for new starters are in place before start date. Process employee changes such as promotions, transfers, and terminations accurately and promptly. Support HR Functions:: Provide administrative support to managers, including scheduling meetings, preparing reports, and maintaining filing systems. Assist in the coordination of employee training and development programs. Respond to employee inquiries regarding HR policies, benefits, and procedures linking in with the Lead practice. Data Management and Reporting Maintain accurate records of disciplinary actions, grievances, and other employee-related matters. To manage the diary for all ARRS clinicians holidays, meetings etc and to make sure all the information is incorporated into the appointment schedules. Maintain and update appointments system for leave/duty changes. Work with the PCN manager to review/maintain and increase ARRS staff productivity to maximise return on investment. Undertake any other additional duties appropriate to the post as requested by the Operations & Business Manager or Clinical Director.
