Job Description As the Front of House and Site Focal for the Welwyn Garden City office you will be working to oversee the general day to day reception and day to day building operations for the office and will be the first point of contact for people visiting the facility. This role is positioned to ensure the smooth and seamless operation of the Boeing Welwyn Garden City office providing multi-disciplinary business process and administrative support to the residents, working closely with internal business functions and external contractors and suppliers. This is a 12 months fixed term contract. This role sits within the Boeing Global Enterprise Services (BGES) team. The responsibilities include the following: - Answering the door to visitors and staff. - Welcome and sign in guests. - Conduct safety briefings upon visitor arrival. - Acting as an initial point of reference in the Reception area as required. - Manage the switchboard and answer incoming calls. - Reporting and recording any building issues, helping to resolve were feasible. - To conduct Visitor Pre-screening checks. - To manage local badging activations. - Collecting and sorting local mail, including outgoing post.? - Management and booking of local hot desks/hot offices/spare offices. - Setting up and shutting down local coffee machines. - Management of local catering orders and supporting hospitality requests. - Co-ordinating and supporting in the set-up of local meetings, including provision and removal of refreshments, supporting IT technicians and room re-organisation (where applicable and appropriate). - Ensuring tidiness and cleanliness of kitchen areas. - Managing replenishment of any local stock items (e.g. kitchen sundries, water etc.). - Monitor usage of printer/stationery supplies and reorder as appropriate. - Capturing and recording data. - Management and execution of local delivery services. - Input and track all facility related issues through supplier web based platforms to completion with consistent resident communications and timelines provided. - Build relationship with FM provider to ensure Boeing site operation consistency is adhered. - Responsible for raising purchase requisitions for facility related items through procurement internal business systems. - Invoice management support for facility and business procurement when required. - Management of Site Emergency Planning including documentation updates through internationally provided processes, templates and testing. - Update site / employee call tree and dialogic scenarios. - Accountability for ensuring that all Health and Safety policies and procedures are systematically applied in order to facilitate the safe, secure, healthy and compliant operation of site activities. - Maintains Site records including management of accounts and facility OEM manuals. - Attend and contribute to wider team meetings. Required Skills and Experience: - The successful candidate should have excellent communication skills to work within a busy team and to support visitors and staff on site. - Be a team player to deliver initiatives. - You should be highly organised and motivated with the ability to multi task and prioritise as needed. - A professional and friendly demeanour is essential. - The successful applicant will need to be proficient in Microsoft Office and other related software packages.
