The Executive Support Officer will develop and deliver a comprehensive organisational, administrative, and management support service to the CEO and management team. Oversee the smooth running of the CEO office and support in the preparation of all meetings, visitors, and tasks as directed. The Executive Support Officer will also support the good functioning of the Board of Trustees in all related matters and manage additional strategic responsibilities, including governance and sub-committee meetings, under the guidance of the CEO and Director of People, Culture and Services.
About the Role
* Gain a working knowledge of the organisation’s work areas to provide effective support to the CEO and ensure smooth coordination of operational priorities.
* Provide operational and administrative support as the first responder to inquiries directed to the CEO’s Office, escalating only high-priority or strategic matters to the CEO or to the Director of People, Culture and Services when required.
* Coordinate Trustee and Sub-Committee meetings, including preparing agendas, board papers, and minute-taking.
* Ensure timely follow-up on actions and communicate effectively with Board members.
* Assist the Director of Finance and CEO by providing high-level support in tracking waqf revenues and monitoring investment performance.
* Coordinate the logistics of cross-departmental initiatives, ensuring timely communication and execution, while aligning with guidance from the CEO or Director of People, Culture, and Services.
About You
To be successful in this role, you will need:
* Experience in a PA, EA or Secretarial role.
* Experience of providing diary management and support to directors or senior managers.
* Previous experience of minute taking and servicing complex meetings and committees.
* First class organisational skills including the ability to prioritise work, balance conflicting priorities, monitor progress and exercise judgement about chasing progress as necessary.
* Good interpersonal and communication skills and ability to liaise effectively with people at various levels.
