About the Role
We are seeking an administrative professional who thrives in an independent role while being an integral part of a large team. The ideal candidate will possess exceptional organizational skills and become a subject matter expert in key processes to enhance our operational efficiency. Strong communication skills are essential, as you will interact with colleagues at all levels via email and phone. We value individuals who can exercise initiative and discretion, ensuring that tasks are addressed promptly and effectively. Responsibilities
1. Assist in coordinating logistics related to meetings, video and conference calls, including preparing reports, presentations, agendas, minutes, etc. using business software applications.
2. Creating and tracking contractor agreements, keeping records up to date at all times.
3. Maintain logs used to track various processes and milestones.
4. Support recruitment of subject matter experts by creating and maintaining a database of active and former contributors.
5. Maintaining files, records, calendars and diaries.
6. Arranging business travel, coordinating meeting arrangements, and tracking expenses.
7. Utilizing various IT systems to complete your role.
Requirements
1. Possess excellent written and verbal communication skills.
2. Possess experience in administrative support roles.
3. Be detail-oriented and maintain precision in data entry and record keeping.
4. Have advanced proficiency in using Microsoft Office Suite and other relevant software.
5. Be able to prioritize tasks and manage deadlines effectively.
6. Possess excellent organizational skills to manage multiple tasks and priorities.
