Role: Payroll Assistant
PURPOSE OF JOB:
The purpose of this Payroll Assistant role is to be responsible for the delivery of an effective, efficient, and accurate payroll and pension function including reporting, liaising directly with staff and external agencies.
As this role is in a School Trust, it would be advantageous if the applicant has Public Sector payroll experience but not essential.
Pay: Band 5 Full-time equivalent salary of £27,500
Hours: 0.6FTE (3 days per week, but this can be flexible so if required can be over 5 days)
This is a temporary role in the first instance, but has the potential to be made permanent.
This is an all-year round post and not restricted to school terms.
MAIN RESPONSIBILITIES of the Payroll Assistant:
1. To be responsible for the preparation and administration of payroll and pension information to our payroll service provider for all staff.
2. Ensure that all relevant information relating to pay e.g. rates of pay, tax codes, NI rates, pension contributions, student loans, attachment of earnings are accurately recorded and input to our HR and payroll system.
3. Prepare, input and check payroll data received from our provider at month end.
4. Reconcile RTI returns for provider to submit within HMRC deadlines.
5. Review and check payroll deductions returns and check submissions from payroll provider complying with external deadlines.
6. Review and check BACS payroll files for payment of staff.
7. Submit relevant pension returns online to external deadlines, taking responsibility for the effective administration of pension contributions and ensuring the relevant administration procedures are adhered to monthly and at year end.
8. Review and check pay variations e.g. back pay, maternity pay, redundancy pay.
9. Preparation of end of year returns where not generated by payroll provider.
10. Maintain confidential files for all payroll matters ensuring correct procedures are adhered to.
11. Be the point of contact for payroll queries both internal and external e.g. mortgage references.
12. Administer, in conjunction with our payroll provider, statutory and contractual pay schemes e.g. maternity, pensions.
13. Preparation of routine financial and statistical returns/reports where not generated by payroll provider.
14. Analysis and preparation of financial/statistical data, as required.
15. Assist with the providing of documentation for audits.
16. Support the Director of HR in the personal development of yourself and others by identifying training needs and providing advice, guidance or training.
17. Liaise between managers/teaching staff/support staff/external providers on payroll issues.
18. Maintain manual and computerised records/management information systems.
19. Support the HR Team with administration responsibilities i.e. flexible working requests, statutory reporting, salary changes, reward statements etc.
