SmartWorking (Hybrid Working) EniProgetti UK operates a SmartWorking policy allowing personnel to work for up to 12 working days/month from home or a similar secure UK location and these 12 days can be available even where personnel are on leave for a portion of the month. As such, typically around 60% of time working remotely is available for individuals who wish to take advantage of this. The Head of Human Resources is responsible for both the HR and General Services functions and is one of EniProgetti’ s key contract holders, including HR contracts such as Recruitment agencies, immigration services, benefits and legal advice services and General Services contracts such as cleaning, catering, and electricity. A vital aspect of the Contract Support Administrators’ role is to coordinate pre- and post-award contract activity for HR and General Services and maintain the workflow of invoice processing via SAP and the internal Finance app, working closely with the HR Manager to manage the contracts effectively. The workload for this role has peaks of high volume and is time critical. In this role your day-to-day tasks will be crucial to ensuring contracts run smoothly and efficiently. The role would suit someone with a detail-oriented mindset and a strong administrative background with an understanding of the importance of supporting the contract management processes. The main responsibilities will include, but not be limited to: Creation of purchase requisitions, requests for tender, contract revisions. Maintain contract spend spreadsheet. Monitor contract end dates and available funds. Provide regular updates to contract holder (Head of Human Resources) on contract status. Liaise with internal and external customers such as suppliers, Recruitment agencies, the Finance team and the contract holder. In the Finance App: o Check invoices against the terms of supplier’s contracts or assign invoices to departmental checker. o Upload approved Service Entries and send for approval. In SAP: o Creation of Purchase Requisitions. o Creation of Call-Offs (request for services). o Creation of Service Entries for invoice processing. Maintenance of various trackers and reporting activities. Provide administration cover to the department as required. Candidates Skills/Qualifications The person we are looking for will have the following experience and skills: Ability to process high volume and time critical invoices for payment. Understand the Contract administration cycle. Demonstrate an excellent attention to detail, accuracy, selfdiscipline. Be prepared to learn and strictly follow processes. Take responsibility for compliance with ENI policies. Work independently and as part of a team. Enjoy investigating solutions and collaborating with key Stakeholders including members of the Senior Leadership Team. Be confident using Excel and managing and interpreting data (Excellent Excel skills is essential). Knowledge of SAP is desirable.
