Lead Executive Assistant Cumbernauld, Hybrid Permanent Are you a highly organised and strategic administrative professional with a passion for supporting senior leadership teams? We’re seeking a proactive and experienced Lead Executive Assistant to join our customers team. This is an exciting opportunity to play a pivotal role in supporting key leaders, including the CEO. The Lead Executive Assistant will be responsible for providing high-level support to the CEO & Executive Team, line management of an EA, manage board materials, executive committee reports, complex schedules, and stakeholder meetings, while ensuring seamless office operations in a fast-paced environment. This role requires strategic thinking, professionalism, and exceptional organisational skills to drive efficiency at the highest level. You’ll work a flexible hybrid schedule, spending 3 days onsite and 2 days remotely, with Tuesday as your anchor day for in-person team collaboration. Key Responsibilities: · Executive Support: Manage the diaries, emails, and meeting schedules for the senior leadership team, ensuring all priorities are met efficiently. · Travel & Expenses: Organise executive travel arrangements, accommodations, and ensure smooth expense reporting. · Stakeholder Engagement: Act as the key liaison between executives, board members, and external partners to ensure seamless communication and coordination. · Financial Administration: Oversee financial processes, including invoice management, credit card reconciliations, and other related tasks using systems like JDE. · Reporting & Presentation Preparation: Assist with the preparation of executive reports, presentations for investors, and internal communications. The Ideal Applicant: · Experience in a Fast-Paced Environment: Previous experience in FMCG, retail, manufacturing, or any high-energy, commercial setting is a plus. · Proven Ability to Work with Senior Executives: You’ll be supporting busy leaders with packed schedules, who will not always be onsite or readily available for questions. Anticipating their needs and adapting to changing priorities is essential. The ability to work independently, take initiative, and find solutions without constant supervision will be key to your success in this role. · Line Management Experience : As a Lead Executive Assistant, you will have line management responsibilities for one Executive Assistant. This requires strong leadership abilities, experience managing an individual team member, and the ability to provide guidance and support to ensure their success. · Adaptability & Stakeholder Management: With a diverse executive team, your approach should vary based on the individual personalities you work with.
