JOB TITLE: Contract Administrator
LOCATION: St James Quarter, Edinburgh
SHIFT PATTERN: Monday to Friday
SALARY: £30,000 - £31,500
Main Duties & Responsibilities
To be the dedicated, site-based contract administrator and provide performance reports to the contract manager to ensure 100% compliance against all maintenance, reactive, and quoted works tasks.
General
1. Understand, anticipate, and deliver internal and external customer needs while building effective relationships.
2. Efficiently respond to both internal and external customers through effective communication and personal accessibility.
3. Ensure systems both internally and externally are updated with the correct information and documentation.
4. Helpdesk; including but not limited to; logging, distributing, and closing down of reactive calls.
5. Maintain all maintenance asset files ensuring paperwork meets contract and H&S compliance.
6. Assist Contract Manager in the production of the contract monthly report.
7. Ensure compliance with policies and procedures.
8. Assist Management in ensuring compliance with H&S requirements, including H&S reporting (e.g. Hazard Reporting) and promoting a safe working environment.
Financial
1. Raise quotes onto in-house system and follow through process/requirement to the completion of the works.
2. Liaise, organise, and raise purchase orders to Sub Contractors for both annual contract maintenance works and specialist reactive works.
3. Manage spend against budget when raising reactive purchase orders.
4. Collate monthly forecasting on reactive works for ABM and client.
5. Produce monthly reactive invoicing and issue to client.
Essential Person Specification
1. 2 years experience within an administrator role.
2. You will be able to demonstrate excellent customer service skills and commercial awareness.
3. Financial reporting experience.
Desirable
1. Intermediate / Advanced level in Excel.
2. Computer literate.
3. IOSH Managing Safely.
