Purpose of Role:
* Ensures efficient execution of system administration and document management, in line with internal and external requirements, company objectives and agreed targets.
Areas of Accountability, Responsibility and Competence:
Business Management System (BMS)
* Oversee the Processes and documents life cycle on the Business Management Systems, from issuance to archiving, ensuring compliance with company standards and regulatory requirements.
* Work with business and process owners to create, update and maintain business processes.
* Manage the document numbering system and allocate unique document numbers, using agreed BMS document convention.
* Conduct in-depth audits of the BMS, proactively identifying and rectifying quality deficits, errors, and discrepancies, including the management of document ownership.
* Monitor BMS process and document reviews for completion and ensure for review and overdue notifications are issued.
* Provide business process management mapping advice
* Serve as the go-to expert for all BMS-related inquiries, offering guidance and support to ensure efficient use of the management system.
* Regularly meet with document owners and other stakeholders to monitor document progress.
Governance & Reporting
* Ensure BMS documents and processes are not only current but also readily accessible to Harbour personnel.
* Maintain comprehensive and up-to-date document metadata to support efficient document control processes.
* Execute stringent quality control measures on BMS processes and documents, aligning them with predefined templates and standards.
* Evaluate and update document control procedures and instructions, ensuring they are effective and adhere to best practices.
* Generate detailed reports on document status relative to KPIs, providing actionable insights for continuous improvement.
System & Training
* Act as the subject matter expert (SME) for the BMS systems, leading training sessions and offering support to enhance user competency and system utilization. .
* Provide guidance and support on Business Process Management mapping
Critical Skills:
* Familiarity with the BMS: Understanding how the Business Management System (BMS) ensures safe operations and manages risk.
* Experience with Business Process Management systems: Aris, or similar.
* Knowledge of BMS Documentation: Awareness of BMS documentation hierarchy and governance
* Independent and Collaborative: Ability to work independently while contributing effectively to a team
* Strong Communication Skills: Collaborates seamlessly with colleagues at all organizational levels
* Detail-Oriented: Maintains accuracy and organizational excellence
