Junior PA Job Description
Marcilly Recruitment’s high-profile client is seeking a Junior PA to come in and support the Chief of Staff and Senior EA. The successful candidate will be able to learn the ropes and take on responsibility managing both the principal’s personal and business needs. This is an amazing opportunity to have two mentors to enable the Junior PA to grow and take on more and more responsibility.
The successful Junior PA will be someone who is hugely personable, charismatic, loyal, enthusiastic and capable of working in a pressurised and demanding environment with a huge workload, working efficiently with pace. They must be a strong team player with excellent communication and negotiation skills. What is paramount for the role is a good eye for detail, delivering the very highest of standards in every aspect of your work.
Junior PA Responsibilities
* Assist in the day to day management of the main residence in Notting Hill, including bills, utilities, and stock management.
* Liaise with household staff on the principals’ schedules and plan accordingly.
* Maintenance and upkeep of London residence: excellent attention to detail required to ensure any maintenance or tech issues are spotted ASAP and rectified. Conduct regular inspections, arrange repairs, manage inventory, and accompany all contractor/maintenance visits to London residence, ensuring protocol is met.
* Manage visitors and guests to London residence, ensuring house staff are aware of arrivals/departures/requirements ahead of time.
* Help to organise and coordinate events and parties at London residence.
* Liaise with the Chef daily to confirm menus for the principals, keeping chef & housekeepers updated on movements & timings.
* Ensure London residence is fully prepared for family arrival - flowers, food stock, cleaning/maintenance etc.
* Assist other assistants in global travel planning, conducting research and contacting suppliers.
* Assist with wardrobe management and packing/unpacking for regular travel.
* Monitor household supplies and reorder as necessary, including toiletries, supplements, cleaning products, and more.
* Assist other assistants in booking personal and business appointments.
* Assist in timekeeping and any requirements ahead of meetings and appointments.
* Assist in luxury lifestyle management.
* Conduct personal shopping and research into gifts, art, clothes, jewellery, furniture, tech etc.
* Work closely with the nanny to help manage the children’s needs.
* Assist in event management.
* Make restaurant reservations and stay informed about top activities in London, the UK, and internationally.
* Liaise with international staff to coordinate the principal’s travel schedule, ensuring all preferences are catered for.
* Keep track of expenses and filing.
* Build a black book of contacts across the whole lifestyle spectrum.
This will be a hugely varied role, working in a very intense, fast-paced environment, but you will be part of a great team who are all in it together. You will have two wonderful mentors to learn from and really advance your career as a top-level PA. It will be what you make of it.
