Job overview
We are looking for two dynamic and proactive administrators for our new Virtual Fracture Clinic (VFC) service. You will be working alongside two VFC practitioners assisting in the provision of an efficient and responsive virtual fracture clinic service, required to support the medical teams to ensure the provision of a patient pathway which is receptive to the needs of the patient and responsive to Trust requirements.
Main duties of the job
1. To provide efficient and comprehensive medical secretarial, administration and booking support within the virtual fracture clinic service and cross cover for colleagues.
2. To undergo training as necessary to meet the needs of new developments within the Service.
3. To provide an efficient administration service to support the patient pathway.
4. To work as a member of the team, ensuring provision of a comprehensive and flexible virtual fracture clinic service.
5. Liaise directly with patient/carer to agree appointment dates.
6. To be responsible for managing and confirmation of booked face to face clinic appointments with patients over the telephone.
7. To provide prompt and efficient clinic outcome letter typing and distribution.

Detailed job description and main responsibilities
1. Provide efficient and comprehensive secretarial and administrative support within the virtual fracture clinic service and other orthopaedic sub specialities as and when required within the MSK CBU.
2. Ensure that you contribute to the department operating to the highest standards and that it not only meets but exceeds customer expectations.
3. Be responsible for ensuring that all duties are carried out in accordance with the correct procedures and policies.
4. Ensure patients receive accurate documentation using Careflow, EPRO and Etrack under the guidance of the Virtual Fracture Clinic Practitioners.
5. From the virtual fracture clinic outcomes type clinic letters, attach relevant patient information leaflets and book any necessary face to face clinic appointments (Careflow) where required.
6. Identify and discuss any problems and initiate and communicate any actions that need to be taken.
7. Act as the first point of contact for enquiries from patient, GPs and other parties providing information within confidentiality and data protection guidelines.
8. Actively take part in team discussions to ensure the department is flexible in its approach to changing workloads.
9. Deal sensitively and effectively with telephone enquiries from patients, relatives and colleagues always ensuring confidentiality.
10. Liaise with the patients directly to agree appointment dates.
11. Support workloads within the service unit and cover for colleagues in their absence.

Education/Knowledge and Qualifications
* GCSE level education
* Willingness to undertake training days and educational programmes
* OCR (RSA) 2
Experience
* Recent working within a healthcare / social care setting
* Awareness of Trust values
